We are a 550 household Jewish Renewal congregation that is a leading progressive voice in the Jewish community and a passionate Jewish voice in the progressive world. We are based on the border of Piedmont/Oakland, CA and have a growing staff team supporting our vibrant community.

Job Summary

Kehilla Community Synagogue seeks a skilled individual with 5+ years of non-profit operations and workplace management experience to be the cornerstone of our administrative team. 


The Operations Manager is a full-time employee who’s part of Kehilla’s core staff team. This person is responsible for essential support across the synagogue, including  front office management, building maintenance, executive calendar management and general community support. The Operations Manager reports to the Executive Director and is the lead on all operational and administrative support for the business office, executive, and clergy team. The role is generally Monday-Friday, 9 am - 5:30 pm, with periodic evenings or weekends to support specific programming. Hours are in-person at our building in Piedmont, CA.

JOB RESPONSIBILITIES:

Manage Building Operations

  • Oversee maintenance and repairs of the building, working with custodial staff and outside vendors and contractors.
  • Set schedules for and supervise custodial staff.
  • Coordinate our building subleases and event rentals.
  • Help form and staff a building committee to foresee long-term building needs and prioritize building repair projects.
  • Oversee all synagogue security and safety protocol. 

Manage Administrative Operations

  • Manage synagogue and building calendars.
  • Oversee operations of the front office, including working with office volunteers.
  • Develop and implement organizational systems designed to increase office efficiency.
  • Provide reception services as needed.
  • Provide administrative support to the executive director in synagogue  fundraising efforts.
  • Manage administrative needs of programs and daily operations, including High Holy Days.

Other duties not listed here may be assigned by the Executive Director as needed.  

 

ESSENTIAL EXPERIENCE AND QUALIFICATIONS

  • 5-10 years’ experience working with nonprofit organizations, member-based organizations, and/or synagogues
  • Keen attention to detail and excellent interpersonal skills
  • Familiarity with facilities and building operations
  • Ability to work independently and proactively, while enjoying the process of collaborating on a small team
  • Ability to play a leadership role while also managing small details
  • Ability to manage multiple projects, accomplishing big-picture goals while also attending to detailed tasks 
  • Outstanding oral and written communication skills, able to comfortably engage with everyone in our community, from members to visiting speakers to coalition partners to facilities vendors. 
  • Eagerness to engage in problem-solving and able to execute tasks with care, respect, and urgency. 
  • Ability to adapt quickly to new tech platforms, including CRM databases. 
  • A passion for what you do and alignment with our spiritual mandate to heal and repair the world.

DESIRED EXPERIENCES AND QUALIFICATIONS 

  • Competency with GoogleSuite, Microsoft Office, CRM databases
  • 2+ years of experience managing staff
  • Experience managing building, program and staff calendars
  • Hiring and coordinating vendor relationships

Physical Requirements

This position requires that one have the ability to comfortably use a computer, keyboard, and mouse with or without a reasonable accommodation. Must be able to sit in a room with compact fluorescent or LED lighting with or without a reasonable accommodation. 

Compensation 

Annual Salary: $66,000-$74,000 DOE.  Generous benefits package includes health insurance, vacation and paid holidays, and retirement/403(b) match.
