Job Summary:
The Finance Specialist/Bookkeeper is responsible for managing the financial operations of the organization. This includes annual budgeting and forecasting, payroll processing, managing accounts receivable/payable, and regular financial reporting. This role requires proficiency in QuickBooks Online and familiarity with tools such as Bill and Shulcloud is a plus. The ideal candidate will demonstrate a strong attention to detail, integrity, and an understanding of the unique needs of a religious institution.
Key Responsibilities:
- Payroll Processing:
- Process hourly payroll for staff accurately and on schedule.
- Maintain payroll records, ensuring compliance with relevant federal, state, and local laws.
- Address and resolve payroll-related questions or concerns.
- Accounts Receivable (AR):
- Manage incoming payments and contributions, ensuring proper documentation and accurate recording.
- Generate invoices, receipts, and donor acknowledgment letters as needed.
- Accounts Payable (AP):
- Manage and process vendor bills, expense reimbursements, and recurring payments.
- Ensure timely payments while maintaining appropriate approvals and documentation.
- Account Reconciliation:
- Perform monthly bank and credit card reconciliations.
- Maintain general ledger accuracy by reconciling accounts and identifying discrepancies promptly.
- Financial Reporting:
- Prepare financial reports, including profit and loss statements, balance sheets, and cash flow reports.
- Assist leadership with budget tracking and reporting as needed.
- Assist with the annual budgeting process, in collaboration with the Directors, Treasurer, and Finance Committee.
- Administrative Duties:
- Oversee financial processes of the organization, make recommendations for changes, and manage implementation
- Maintain accurate records of all financial transactions and supporting documentation.
- Support annual audits, reviews, and tax preparation with outside accountants.
- Support budget analysis for grant applications
- Assist with other financial and administrative duties as required, including day-to-day administrative tasks as part of the synagogue office team.
Qualifications:
- Proven experience as a bookkeeper, finance specialist or in a similar role, ideally within a religious or nonprofit organization.
- Proficiency in QuickBooks Online is required. (Certified Level 2 preferred)
- Must pass a QuickBooks Online exam.
- Experience with Bill.com and Shulcloud is a plus.
- Strong understanding of bookkeeping principles, payroll processing, and financial reporting.
- Excellent organizational, problem-solving, time management, customer service and teamwork skills.
- High level of integrity, discretion, and confidentiality.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Must pass a full background check.
Preferred Qualifications:
- Associate’s degree or higher in Accounting, Finance, or related field.
- Familiarity with nonprofit accounting or experience working in a religious institution.
- Knowledge of donor contribution tracking systems.
Work Environment:
This position may require occasional evening or weekend hours, depending on the organization’s needs (e.g., providing financial updates at synagogue board meetings). Work will primarily be performed on-site in a shared-office space.
Compensation:
$50,000-$60,000 annual salary commensurate with experience.
