Position Overview
The Administrative & Warehouse Assistant plays a key role in supporting the daily operations of the kindnessG’MACH warehouse, ensuring a smooth, organized, and welcoming environment for staff, volunteers, donors, and families we serve.
This position provides essential administrative, logistical, and communication support to the Director of kindnessG’MACH and team. From managing daily records and correspondence to assisting with warehouse operations, this role is ideal for someone compassionate, organized, and eager to make a meaningful difference in the community.
No two days are the same, this is a hands-on role in a fast-paced, mission-driven environment centered around kindness, dignity, and support for families in need.
Administrative & Office Support Responsibilities
- Answer phones, respond to emails, and manage inquiries from donors, clients, and community partners.
- Maintain office systems including computers, security access, building management, and internal communication tools.
- Generate weekly and monthly reports using Microsoft OneDrive, Teams, and Little Green Light (LGL).
- Support compliance with KI reporting, data entry, and CRM requirements.
- Draft and send correspondence, thank-you letters, and donor/volunteer communications from weekly visits to the warehouse.
- Assist with preparing materials for social media and community outreach and work with the HQ office team to coordinate online.
- Provide general clerical and organizational support to warehouse staff and volunteers.
Qualifications
- Hebrew speaking preferred but not required.
- High school diploma required; associate or bachelor’s degree preferred.
- Minimum 2 years administrative experience (nonprofit or warehouse environment a plus).
- Strong organizational skills with excellent attention to detail and consistent follow-through.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Outlook, Teams, OneDrive, Word, and Excel.
- Ability to learn and utilize CRM systems (Little Green Light).
- Ability to multitask and thrive in a busy, ever-changing environment.
- Compassionate, discreet, and community-centered mindset.
- Comfortable working in a hands-on warehouse setting and interacting with diverse populations.
Work Environment & Physical Requirements
- Position is based at our kindnessG’MACH warehouse and office location (Mon-Fri).
- Occasional support for community events or donation pick-ups.
- Requires mobility throughout the warehouse and the ability to lift items up to 20 lbs.

Compensation & Schedule
- Hourly rate based on experience $30 per hour
- Weekday schedule: Monday–Friday, 9:00 AM to 5:00 PM, with occasional Sundays or special events as needed.
- Medical benefits available to full time staff members.
- Two weeks (10 days) of vacation time.
