Job Summary

Temple Beth Sholom is seeking a highly motivated, team player to join our administrative staff.  Under the direction of the Head of School, Director of Hebrew Education and the Director of Supplemental Programming, the Administrative Assistant, working in a team of three is responsible for coordination, administration, and management of all Education Department Activities for the various education departments at Temple Beth Sholom.


Essential Duties Include but are not Limited to:

  • Maintain close ongoing communication with the directors of the education programs.
  • Maintain close ongoing communication with the parents and students in the programs.
  • Collect and processes registrations for the programs.
  • Assist families by responding to questions (in person, by phone or email) about the different program options.
  • Design and maintain the databases for the different programs.
  • Prepare program mailings.
  • Retain substitute teachers and document absences.
  • Process new hires – fingerprints, staff file creation, etc.
  • Organize and maintain filing system for each program.
  • Maintain updated immunization records and DCF/Child Files as needed for all programs.
  • Prepare reports as needed (attendance, comparative numbers, statistics, class reports, rosters, lunches, publicity releases, pick up releases, immunizations, etc.).
  • Prepare and edit documents, letters, and emails to be sent to parents, teachers, and counselors or outside instructors.
  • Coordinate logistics for special activities, brochures, flyers, handbooks, contracts, etc.
  • Assist in the daily organization of the different programs as needed
  • Process field trip requests.
  • Ensure all events for all programs are included on the main calendars.
  • Maintain online calendars for all programs.
  • Website management for all programs.
  • Support Parent Teacher Organizations through marketing efforts, event planning, and communications; serve as administrative liaison between parents and school.
  • Schedule school tours.
  • Knowledge of: Microsoft products, Google Suite, Wufoo, Constant Contact, Adobe and ShulCloud, are a plus.
