Executive Director

 

  

Overall Responsibilities

 

Congregation Or VeShalom, an uplifting, inclusive, and egalitarian synagogue rooted in Sephardic traditions and community seeks a qualified and mission-driven Executive Director to guide the organization through a significant leadership transition.

The Executive Director reports to the Board of Directors and is responsible for the overall management and supervision of the synagogue’s facilities and day-to-day operations. The Executive Director will be responsible for membership engagement and growth, managing office and facilities personnel, budgeting and finance, facilities, marketing/membership outreach, marketing, synagogue calendar and information technology.

 

 Specific Duties and Responsibilities

Executive Director

Personnel

 

  • Supervise all administrative, clerical, maintenance, and any other non-clergy staff in accordance with established
  • Work with the Board of Directors in establishing, reviewing, and updating personnel procedures, standards, and employee
  • Partner with clergy, staff, and lay leaders to execute the synagogue’s mission and strategic goals and to ensure alignment of administrative and programmatic functions.
  • Develop, implement, and maintain appropriate processes and systems for efficient administration of the office and
  • Assure compliance with all state and federal employment guidelines and
  • Assure that proper procedures, accompanied with documentation, are followed in the recruitment, hiring, onboarding, training, discipline, and termination of any employee. Provide for proper maintenance of personnel files.

 Fiscal

  • Supervise and oversee all accounting procedures.
  • Manage the synagogue’s operational budget along with the Treasurer and Finance
  • Oversee timely (monthly, quarterly and annually) issuance of regular financial reports to Board of Directors, department heads and the appropriate Board committees; ensure adequate financial controls are in place, and that the synagogue is in compliance with current non-profit accounting rules and regulations.
  • Monitor / manage cash flow, dues collections and fundraising processes.
  • Assure compliance with all federal, state, and local laws and tax reporting
  • Support and assist chairs of Finance, Development, Endowment and all other appropriate committees as determined by the
  • Review financial components of all special events and
  • Oversee the cost-effective purchases, use and maintenance of all office equipment, supplies and systems.
  • Evaluate, purchase, install, and maintain information systems and technology consistent with the emerging and ongoing needs of the
  • Review and approve contractual agreements with outside vendors, contractors, consultants, and other service providers.
  • Implement board decisions regarding the use, management and disposal of synagogue
  • Manage the synagogue’s banking / financial relationships.

Communications 

  • Oversee all communications, including the website, email communications, social media, printed materials, marketing materials, etc.
  • In consultation with lay leaders, develop effective internal and external communication strategies. 

Membership 

  • Assure ongoing maintenance of accurate membership
  • Meet with all prospective members and provide them with timely information about membership, member benefits, engagement opportunities, etc.
  • Provide sensitive assistance to members seeking dues relief where financial hardship truly exists.
  • In partnership with staff and lay leaders, ensure consistent and effective communication with members through email, newsletters, website, and social media in or to foster member engagement and membership
  • Resolve delinquent member accounts with warmth and professionalism and ensure timely
  • Provide monthly membership report to the
  • Serve as a resource to the Membership

Program and Facilities Coordination 

  • Oversee and monitor the planning, implementation, execution and evaluation of the organization's programs and services.
  • Ensure that the programs and services offered by the organization contribute to the organization's mission and reflect the ongoing priorities of the Board.
  • Oversee the planning, implementation, execution and evaluation of special projects
  • Assure coordination and scheduling in a master calendar of activities, programs, schools, affiliates, groups, services, and community organizations to maximize efficiency and avoid conflicts.
  • Responsible for the maintenance and improvement of synagogue
  • Responsible for the maintenance and upgrade of synagogue equipment and
  • Assure maintenance, cleanliness, readiness, security, and safety of the physical
  • Advise the Board on matters effecting implementation of current plans and on long-range needs and initiatives.

 

Religious Services and High Holy Days 

  • Assure proper organization and readiness for all religious services and holy day observances and programs.
  • Oversee all administrative aspects of the High Holy Days including, but not limited to, membership data, verification of eligibility to receive tickets, publicity, ticket distribution and sales, memorial book, ushers, security, transportation and parking, annual campaign, and all related logistics and planning.

 

Administration and Miscellaneous 

  • Provide assistance and support to the professional staff in the implementation of congregational and school
  • Assist the President and other applicable committee chairs in the development of monthly Board agendas, e.g., personnel, finance, etc.
  • Participate in meetings of the Board of Directors, Executive Committee, and appropriate committees.
  • Assure Board and Congregational decisions are in compliance with the synagogue’s by-laws.
  • Support and assist synagogue’s development efforts.
  • Serve as a resource to all committees and
  • Provide for adequate risk management and insurance coverage in all areas including property, casualty, liability, D&O, Inland Marine and Workers’
  • Coordinate with security personnel and community agencies to ensure a safe environment for congregants and visitors, including maintaining relationships with local police and fire department and other security partners and agencies and security related vendors and suppliers.
  • Create and/or maintain policies and procedures manuals, including (but not limited to) Personnel, Security, Emergency Procedures, Kitchen usage, Building usage, etc.
  • Participate in the local SEDAR (Synagogue Executive Directors Atlanta Region) group and NAASE (North American Association of Synagogue Executives).
  • All other duties as assigned by the President and/or the Board of Directors.
