Job Title: School Outreach Data Organization Tasks

Organization:              Holocaust Memorial Miami Beach

Location:                     Miami Beach, FL

Reports to:                  Director of Education

 

Employment Type:   20-25 hours per week (flexible schedule based on department needs)

 

Job Description Summary

The School Outreach & Translation Intern will support educational outreach initiatives by researching and organizing school contact information, maintaining outreach databases, and assisting with translation and multilingual communication projects. This role is ideal for a detail-oriented student interested in education, nonprofit administration, communications, data management, and international cultural engagement. Essential Functions and Responsibilities  

School Outreach Data Management 

  • Compile and maintain a comprehensive database of public and private schools throughout Miami-Dade, Broward, and Palm Beach Counties.
  • Research and document key school contacts, including: o    Teachers and department representatives  o          Principals and assistant principals  o Department heads and curriculum coordinators  o District and school board representatives 
  • Consolidate existing outreach lists into a centralized, organized database or spreadsheet.
  • Verify and update contact information to ensure accuracy and completeness.
  • Standardize formatting and data entry practices across all outreach records.
  • Remove duplicate, incomplete, or outdated entries.
  • Create user-friendly systems for searching, sorting, and accessing outreach information.
  • Develop recommendations and procedures for ongoing database maintenance and updates.

Translation & International Outreach Support

  • Utilize AI-assisted translation tools to create preliminary translations of educational materials, exhibit panels, and outreach content.
  • Coordinate with museums, educational institutions, and cultural organizations to review and validate translated content.
  • Assist in communicating with external partners in their native languages when appropriate.
  • Organize translated documents and maintain version control across multiple languages and revisions.
  • Track translation updates and ensure consistency across materials.
  • Support cultural accuracy reviews and incorporate feedback from partner organizations.

 

 

Administrative & Project Support

  • Assist with special projects related to educational outreach, community engagement, and international partnerships.
  • Maintain accurate records and documentation of outreach and translation activities.
  • Participate in team meetings and provide progress updates on assigned projects.
  • Perform related duties as assigned.

Qualification & Skills

 

  • Current college student or recent graduate pursuing a degree in Education, Communications, International Studies, Languages, Nonprofit Management, Information Management, or a related field.
  • Strong research and organizational skills.
  • Exceptional attention to detail and accuracy.
  • Proficiency in Microsoft Excel, Google Sheets, and database management.
  • Strong written and verbal communication skills.
  • Ability to manage multiple projects and meet deadlines independently.
  • Experience with AI-powered productivity and translation tools preferred.
  • Multilingual proficiency is highly desirable.

 

 

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job,

This is a sedentary role; Physical requirement of being able to lift 15 pounds at times. The position primarily involves working at a desk, sitting for extended periods while using a computer, phone, or other digital devices.
