Job Summary

The Shul Office Manager is a key leadership position responsible for managing the daily operations, administration, and communal interface of the Shul. This role ensures that all activities — from lifecycle events and weekly services to holidays and educational programs — run smoothly and reflect the values of a warm, respectful, and well-organized community. The Office Manager acts as a central liaison between clergy, staff, lay leaders, congregants, and external vendors.

Key Responsibilities

Administrative and Office Management

  • Oversee daily operations of the Shul office and serve as the primary point of contact for congregants, vendors, and visitors.
  • Supervise Shul staff including bookkeeper and custodial personnel.
  • Maintain office equipment and supply inventory; manage relationships with service providers.
  • Ensure confidentiality in handling sensitive member and pastoral information.

Clergy and Program Support

  • Provide administrative and scheduling support to clergy, educators, and program leaders.
  • Coordinate Shul calendar including lifecycle events such as bar/bat mitzvahs, weddings, and funerals.
  • Prepare printed and digital materials for minyanim, classes, and community events.

Financial and Database Management

  • Maintain membership database, manage dues and donation processing, and issue receipts/acknowledgments.
  • Oversee accounts payable and receivable in coordination with lay leadership.
  • Support budgeting, financial forecasting, and reporting using QuickBooks and other tools.

Communications and Community Engagement

  • Prepare and distribute weekly newsletters, announcements, and updates via email and social media.
  • Manage and update Shul website and online communications.
  • Assist in welcoming and onboarding new members; support volunteer and committee coordination.

Facilities and Events Oversight

  • Arrange for building maintenance and ensure compliance with laws, building codes, and permits.
  • Manage use of Shul facilities for internal and rented events, including caterer and tenant coordination.
  • Order weekly Kiddush/Seudah Shelishit and supervise arrangements for special events.

Ritual and Holiday Support

  • Work with Gabbaim to prepare Yahrzeit schedule, kibbudim assignments for High Holidays and planning for bar mitzvahs and aufrufs.
  • Coordinate logistics and materials for holidays, including seating, auxiliary minyanim and youth programing, and special religious programming.

Requirements and Qualifications

  • Minimum 5 years in administrative or management roles, preferably in a Shul, day school, nonprofit, or religious organization.
  • Familiarity with Jewish customs and modern Orthodox practices strongly preferred.
  • Strong organizational, interpersonal, and communication skills.
  • Ability to multitask and work independently in a dynamic environment.
  • Experience with lay leadership, volunteers, and committee work.
  • Personnel management and team-building skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Zoom and Canva.
  • Prior experience with QuickBooks and ShulCloud highly preferred.
  • Comfortable with website content management and email marketing platforms.
  • Experience in budgeting, financial reporting, and accounting procedures.
  • Understanding of insurance policies, unemployment/workers comp compliance, and nonprofit regulations.

Work Environment

This position requires presence on-site with occasional evening or weekend responsibilities for major events, holidays, or urgent matters. The successful candidate will be an adaptable and warm professional who thrives in a mission-driven environment.

 

Salary

The expected salary range for this full-time position is $70,000–$120,000, with final compensation based on prior experience, qualifications, and other relevant factors. Part-time salary to be adjusted accordingly. This role is also eligible for annual performance-based bonuses.
