Administrative Assistant

The Administrative Assistant is a full-time employee who provides essential administrative support to the clergy and Religious School. This role ensures smooth operations across the synagogue’s administrative functions, Religious School, and B’nai Mitzvah program. The position requires a strong multi-tasker with excellent organizational skills, the ability to anticipate needs, and a commitment to providing professional, responsive support to staff, families, and congregants.

Reports to: Office Manager

Position Type:  Full- Time

Key Responsibilities:

Clergy & Executive Support:

  • Provide administrative support to clergy, including scheduling meetings, managing calendars, and preparing materials
  • Assist with communications and correspondence on behalf of clergy
  • Support special clergy projects, including lifecycle events and community programming
  • Onsite support for programs as necessary
  • Lifecycle event coordination and program/collateral creation for those events
  • Committee support as needed (send meeting notices, minutes, follow up, activities as assigned)

Religious School & Education Support:

  • Assist with student registration, enrollment, and associated communications
  • Serve as a point of contact for family and student inquiries
  • Maintain inventory of school supplies and order materials as needed
  • Create and deliver school communications via ParentSquare
  • Support administrative processes such as payroll submission for school staff and attendance records
  • On site support on Sundays during the school year

B’nai Mitzvah Program Support:

  • Schedule all B’nai Mitzvah appointments and rehearsals
  • Coordinate gifts, communications, and program logistics
  • Maintain accurate records for B’nai Mitzvah families
  • Serve as a liaison between families, clergy, and educators
  • Produce B’nai Mitzvah programs

General Administrative Duties:

  • Manage front desk operations, including answering phones, greeting visitors, accepting packages, and responding to inquiries
  • Maintain databases and CRM for congregant records, ensuring data accuracy
  • Support Community Programming as assigned
  • Support office operations and coordinate with Office Manager for room setups

Qualifications:

  • Bachelor’s degree preferred or equivalent experience in nonprofit management, Jewish communal service, event planning, communications, or related field.
  • 3+ years of administrative experience, preferably in a religious or educational setting
  • Strong organizational skills and ability to manage multiple priorities
  • Excellent interpersonal and communication skills, both verbal and written
  • Excellent organizational skills, attention to detail, and ability to manage multiple projects and deadlines.
  • Proficiency with Microsoft Office and social media platforms; familiarity with database systems (e.g., ShulCloud, Salesforce) a plus.
  • Strong interpersonal skills; able to collaborate with clergy, staff, lay leaders, and volunteers with diplomacy and warmth.
  • Ability to work some evenings and weekends as required by event schedule.
  • Ability to stand for long periods, move about the building frequently and lift up to 25 lbs. desired.

Time and Attendance:

  • Full-Time, Sundays during Religious School (morning and afternoon), final schedule to be determined in collaboration with the Executive Director
  • Attendance at other days/times will be necessary.
  • TBO is closed for most Federal Holidays, Jewish Holidays (Reform Custom), Christmas – New Years, and other dates to be determined.

Compensation and Benefits

This position offers a competitive salary commensurate with experience and aligned with our organization’s compensation framework.  The salary range for this position is $40,000 - $47,000 per year.
