Office Coordinator

Full-Time, In-Person

FLSA Non-Exempt

About the Position

Brooklyn Heights Synagogue (BHS), seeks a warm, organized, hard-working, and resourceful professional to join our team as its full-time Office Coordinator. The Office Coordinator is the hub of the synagogue’s day-to-day operations: the first friendly voice members and visitors hear when they call; the person who keeps our office, technology, calendar, and data running smoothly; and a key partner in ensuring the success of our services, meetings, and events. This position reports directly to the Executive Director.

Why Join Us

  • We are a fun, caring team. You will work alongside a close-knit staff who enjoy working together and look out for one another.
  • The role offers lots of opportunities to grow. You will augment your skills in operations, customer service, IT support, database management, digital media, and event logistics, with mentorship from the Executive Director and lay leaders.
  • The work you do will matter. This role is operationally critical, and you will see the impact of your work every day.
  • We are a healthy, growing organization. We expanded this role to full time, and we are undergoing a strategic planning effort to remain focused amidst our growth.

Key Responsibilities

Front Desk and Communications

  • Serve as the first point of contact for the synagogue: answer calls and emails to the main office, welcome walk-in visitors, and direct inquiries to the right staff member
  • Prepare and distribute mailings and general correspondence as needed, in collaboration with the Communications and Development Manager

Office Operations

  • Order and track office supplies, and coordinate equipment maintenance and repairs with vendors
  • Help maintain the institutional calendar and coordinate the scheduling of rooms and resources, in collaboration with the Security and Operations Manager, to ensure facility use is smooth and professional

Technology, Data, and Digital Media

  • Support and manage ShulCloud, the synagogue’s membership and finance database, keeping records accurate, clean, and up to date and helping staff use the system
  • Serve as first-line IT support for staff and work with outside IT vendors to resolve issues as needed
  • Edit, upload, and maintain the Boxcast and Vimeo libraries of livestreamed services and sermons, preserving them for posterity
  • Make updates to the synagogue website

Meetings and Events

  • Provide administrative and logistical support for Board and committee meetings, membership events, and services, including setup, materials, technology, and on-site problem-solving
  • Take on special projects as assigned by the Executive Director

What You Bring

  • At least two years of experience in office administration, event management, customer service, or a related role; nonprofit experience is a plus
  • Excellent interpersonal skills and a warm, professional approach to members, colleagues, and the public
  • Proficiency with Microsoft Office, Adobe, Boxcast, Vimeo, and similar platforms, and familiarity with ShulCloud or similar membership or data systems, or a proven ability to learn new technology quickly
  • Strong organizational and problem-solving skills, with sound judgment in prioritizing work under minimal supervision
  • A calm, collaborative presence under pressure and the utmost discretion with confidential information
  • Eagerness to learn; knowledge of synagogue life and Jewish ritual practice is a plus but not necessary

Schedule

Full-time and in-office, typically 40 hours per week, Monday through Friday. The schedule flexes to accommodate occasional evening and weekend meetings, events, and services, and includes availability on some Jewish holidays.

Compensation and Benefits

The salary range is $60,000 to $65,000 per year, commensurate with experience. All full-time staff receive full privileges of membership at BHS, paid vacation, sick, and personal leave, and heavily subsidized medical insurance, and are eligible for BHS's dental, vision, transit, FSA, and long-term disability plans.

To Apply

Please email a resume and cover letter to [email protected]. In your cover letter, tell us why you are interested in this position and how your experience makes you the right fit.

Candidates are encouraged to apply by October 15. Interviews will be held on a rolling basis, and the position is open until filled. For more information, visit bhsbrooklyn.org. No phone inquiries, please.
