 Position Summary:

The Executive Assistant to the two pulpit rabbis provides administrative support for appointments, lifecycle events, pastoral care, and worship services; certain congregational programs, educational classes, and Temple committees; professional conferences and communal involvement.

 

Professional Requirements and Skills:

  • Excellent interpersonal and communication skills
  • Ability to handle stressful and emergency situations with a "can-do" attitude
  • Ability to maintain utmost confidentiality in matters personal and professional
  • Ability to work on multiple tasks at a fast pace with minimum of supervision
  • Ability to take initiative and anticipate clergy needs
  • Ability to develop effective and respectful team working relationships with clergy and all other staff members
  • Ability to analyze and resolve problems/situations demonstrating good judgment and common sense
  • Strong knowledge of Microsoft Word, Excel, Google Workspace, database management, mass email programs
  • Knowledge of Judaism and Jewish practices a plus

  

General Duties:

  • Maintain the rabbis’ calendars, schedule all appointments and handle all correspondence by phone and email and perform other administrative tasks, as requested.
  • Schedule meetings and prepare materials for all religious services, classes, and lifecycle events.
  • Coordinate arrangements and travel for rabbis' speaking engagements, guest lectures, conferences, national commissions, meetings out of town.
  • Coordinate mailings for yahrzeits, donation acknowledgments and lifecycle events.
  • Administrative support for the Social Justice Team.
  • Assist with coordination and administrative tasks for congregational trips.
  • Collaborate with other staff members and serve on the logistics team.
  • Screen all calls, open and sort mail, prepare correspondence, order books and ritual items, prepare agendas for meetings, create reports, complete check requests, track discretionary fund accounts, reserve spaces for programs, and handle special projects as assigned.
  • Oversee and work directly with the live-streaming provider, including coordinating operator schedules, supporting on-site and remote setup, and assisting with troubleshooting when issues occur.
  • Work on occasional weekday evenings, Shabbat and Jewish Holidays as needed.
  • Ad hoc project assistance as needed.
