Role Overview

The Bay Area Center to Counter Antisemitism (BACCA) seeks a seasoned, highly capable operations professional to join our team as Director of Operations. Reporting to the Executive Director, this role serves as BACCA's organizational backbone — overseeing financial management, fundraising operations, human resources, and administrative infrastructure so that BACCA's programmatic team can focus on mission-critical work. This is a high-level executive support and operations role for someone who thrives on building and maintaining excellent systems, managing outside vendors and partners, and keeping an early-stage, growing, fast-moving nonprofit running smoothly.

This role involves regular access to highly sensitive financial, personnel, and donor information. BACCA is looking for someone with excellent judgment who understands the seriousness of this responsibility and can be trusted to handle sensitive information with consistent discretion and care.

This position is ideal for someone who takes pride in building strong systems from scratch, is comfortable managing multiple outside vendors and functional areas at once (finance, HR, fundraising operations, insurance), exercises sound judgment and discretion, and enjoys being the person who makes everyone else's work easier. Experience in nonprofit operations, finance, or HR management is strongly preferred.

This is a part-time (30 hours/week), salaried, primarily remote position, with occasional in-person meetings and gatherings in the SF Bay Area.

What You’ll Do

Financial Management

  • Serve as the primary point of contact for BACCA's outsourced accounting firm, Jitasa, overseeing bookkeeping, reconciliations, and financial reporting
  • Manage BACCA's checking and investment accounts to ensure healthy cash flow and avoid any cash-flow shortfalls
  • Review, enforce, and recommend updates as needed to BACCA's expense policy

Fundraising Operations

  • Maintain all donor records in Bloomerang, ensuring data is accurate, current, and well-organized
  • Monitor donor communications and relations, responding promptly and warmly to incoming gifts and donor needs
  • Ensure high-quality, timely donor thank-you letters, coordinated with the Executive Director and, if relevant, board members
  • Provide administrative support to the Executive Director and Board Vice Chair for their weekly donor prospect and stewardship review meetings
  • Support logistics and planning for occasional fundraising events
  • Serve as the primary point of contact for administration of all grant income and grant agreements
  • Proactively flag upcoming grant report deadlines to the Executive Director and prepare report templates/drafts — structuring documents and plugging in standard information — so the Executive Director can focus on substantive content

Human Resources

  • Serve as the primary point of contact for BACCA's HR provider, Gusto, overseeing all HR functions for BACCA's growing team
  • Help develop a more robust employee policy
  • Support the expansion of employee health benefits, including evaluating and implementing a group health insurance plan alongside or in place of BACCA's current health care reimbursement plan

Grassroots Group and Network Support

  • Serve as a responsive, customer-service-oriented point of contact for leads from BACCA's grassroots groups
  • Build trusting relationships with grassroots leaders and ensure their needs are tracked through to resolution, even when the answer comes from someone else on the team

Communications Support

  • Support production of BACCA communications materials, including the annual impact report

Fiscal Sponsorship Transition Support

  • Provide ongoing fiscal sponsorship support — including managing income and expenses — for BACCA's grassroots groups until the transition to an external fiscal sponsor is complete, targeted for the beginning of 2027
  • Provide operational and administrative support for BACCA's transition of its grassroots groups from BACCA fiscal sponsorship to an external fiscal sponsorship provider, targeted for the beginning of 2027

Insurance & Risk Management

  • Review and maintain BACCA's insurance policies, serving as the primary liaison with BACCA's insurance broker
  • Identify and help evaluate additional coverage needs as BACCA grows

Organizational Systems & File Management

  • Organize and maintain BACCA's electronic files and resource library, ensuring documents are well-organized, consistently structured, and easy to find

  • Manage access permissions for staff, board, and volunteers, ensuring each has the appropriate level of access to shared documents and systems

Additional Responsibilities

  • Provide support to Executive Director as needed
  • Take on additional or different responsibilities in other areas of BACCA’s work over time as capacity allows and organizational needs evolve

What You’ll Bring to the Job

We're looking for someone who is passionate about BACCA's mission, exceptionally organized, trustworthy with sensitive information, energized by building strong systems from the ground up, and comfortable serving as the operational hub for a small, fast-growing organization. Strong candidates will demonstrate many of the following:

  • Significant experience in nonprofit operations, finance, or HR management
  • Demonstrated success managing outsourced finance and HR functions or vendors (experience with Jitasa, QuickBooks, Gusto a plus)
  • Experience with fundraising operations and donor databases (Bloomerang or similar CRM) a plus
  • Exceptional judgment and discretion with sensitive financial, personnel, and donor information
  • Ability to translate high-level direction into clear systems, policies, and processes
  • Strong project management skills and comfort overseeing multiple functional areas at once
  • Excellent written and verbal communication skills
  • Ability to work independently and effectively in a remote environment
  • A warm, "can-do" customer service orientation
  • Comfort with ambiguity and excitement to build infrastructure for a new, evolving organization

We recognize that strong candidates may come from many different backgrounds, including nonprofit operations, finance, HR, or executive support. If this role excites you but your experience doesn't align perfectly with every qualification listed, we encourage you to apply.
