Clergy Support and Adult Programs Associate (CSAPA)

Position Overview

The Clergy Support and Adult Programming Associate (CSAPA) will work with the Associate Executive Director and members of the Clergy Team, and all program staff to help develop and facilitate adult programming aimed at creating community, nurturing connection and providing interesting and educational programs for our westside campuses.

This position plays a central role in the development and management of the affinity group known as the The Blvd, our Young Professionals Group as the staff liaison as well as supports our clergy in their on-going programs and day-to-day congregant management.

The CSAPA is often one of the "faces" of the Temple at programs and events and is expected to model professionalism, warmth, inclusivity, and strong relationship-centered values.

The role requires creativity, entrepreneurial thinking, strong organizational skills, and the ability to balance autonomy with collaboration while managing multiple projects simultaneously.

KEY PROGRAMMING and SUPPORT AREAS

Programming includes, but is not limited to:

  • Supporting adult programs, congregant outreach, and classes in conjunction with Rabbi Susan Nanus, Director of Adult Programs
  • Supporting the Choosing Judaism programs at the Resnick and Glazer Campuses
  • Congregant interest Affinity Groups coordination and management for our young adult group known as The Blvd.

Additional Adult Programming Oversight:

  • Managing ticketing programs for events (Simpletix, etc.)
  • Assist with researching, planning, and coordinating new programs and events.
  • Ensure the program is on all temple calendars, including eSPACE, Google and the website
  • Be sure to share the date and program with all the necessary people.
  • Update and maintain calendars, including rescheduling and canceling events when needed.
  • Schedule, coordinate and attend any necessary meetings for upcoming programs.
  • Communicate with speakers as to their specific needs for the program
  • Review and finalize setups for upcoming programs and events.
  • Coordinate communication materials, graphics for upcoming programs.
  • Provide necessary information for the program to be included on social media outlets.
  • Arrange for live-stream of upcoming programs.
  • Regulargly attend and monitor:
    • Parshat ha Shavua
    • Chevra Torah
    • Women's Torah Study
    • Current Events
    • Film Society
    • WilshiReaders
  • Monitor, track and maintain program registration numbers and attendee list.
  • Ensure communication is being shared regarding programs to all necessary departments.
  • Coordinate with security, including sending attendee lists and updates on attendee numbers.
  • Purchase and/or arranging food and coffee/tea set up.
  • Prepare and send reminder and follow-up emails to attendees.
  • Attend events and assist with check-ins, manage attendee lists and handle any last-minute details.
  • Review and debrief programs with Rabbin Nanus and other team members to evaluate outcomes and make improvements.
  • Attend the Events team meeting each week.

Clergy Support:

  • Be the "right hand person" for Rabbis including becoming familiar with their work styles and communication preferences and for the congregants whom they serve.
  • First contact for members, visitors and callers to the clergy office.
  • Handle incoming calls with professionalism, tact and discretion.
  • Maintain and manage Rabbi's personal and work calendars, including scheduling travel and conferences.
  • Handle a high volume of email correspondence, including replying to congregants, managing outreach for programming, and addressing general inquiries.
  • Responsible for maintaining lists and correspondence with students in all of Rabbi's classes (Adult B'nei Mitzvah, Women's Torah study, Confirmation, Choosing Judaism, etc.)
  • Manage respective phone lines and inboxes
  • Making necessary reservations and handling all scheduling tasks.
  • Attend meetings when asked.
  • Coordinate after-hours and weekend life cycles needs which may be required in evenings and on weekends when assigned as Senior Rabbi's back up.
  • Confirm event logistics with appropriate departments Coordinate with security for visitor management.
  • Process check requests and handle payment submissions for speakers and teachers.
  • Manage receipts, expenses in Bill (formerly Divvy).
  • Update and manage program information in all Temple systems.
  • Assist with preparing documents, running copies, and other administrative tasks as needed.
  • Attend campus calendar meetings.
