Har Mishpacha is a rapidly growing Jewish congregation serving Steamboat Springs and the Yampa Valley. It is a small but dedicated community with a hands-on staff, an engaged Board of Directors, and an active volunteer base. With approximately 165 member families, 5 staff members, and 30 active volunteers, Har Mishpacha thrives on collaboration, creativity, and shared leadership.

Job Overview

Har Mishpacha Jewish Congregation of Steamboat Springs seeks a highly organized, reliable Part-Time Administrative Assistant to support the day-to-day administrative operations of the synagogue. This role is essential to maintaining smooth systems and ensuring clear communication and coordination among staff, leadership, and members.

The Administrative Assistant manages core administrative tasks including financial processing support, scheduling, communications monitoring, and office management. This position collaborates closely with the Rabbi, bookkeeper, and Membership & Engagement Director to ensure accuracy, responsiveness, and consistency across synagogue operations. Given the small staff environment, this role requires initiative, adaptability, and strong attention to detail.

Position Details

  • Hours: Approximately 8 hours per week (schedule to be determined collaboratively with the Rabbi), with potential for additional hours on an as-needed basis.
  • Compensation: $24–$29 per hour (commensurate with experience).
  • Location: Hybrid/remote with regular in-person responsibilities (e.g., mail pickup, bank deposits, office supplies).

Responsibilities and Duties

General Administration

  • Manage day-to-day administrative needs of the synagogue, ensuring tasks are completed accurately and on time.
  • Monitor synagogue voicemail and general information email accounts, routing messages appropriately and promptly.
  • Check physical mail weekly and distribute or process items as needed.
  • Order and maintain office supplies and basic operational materials.

Financial & Recordkeeping Support

  • Deposit checks in a timely manner with proper documentation.
  • Log deposits and financial activity accurately in coordination with the bookkeeper, Rabbi, and Membership & Engagement Director.
  • Assist with basic recordkeeping and data management to ensure records are complete, organized, and consistent (no accounting expertise required).
  • Support clean workflows and documentation practices across administrative systems.

Scheduling & Coordination

  • Schedule meetings for the Rabbi, Board of Directors, and congregational committees.
  • Coordinate calendars, meeting logistics, and reminders.
  • Assist with preparation and distribution of meeting materials when requested.

Collaboration & Communication

  • Serve as a dependable administrative point of contact for staff and lay leaders.
  • Work collaboratively with the bookkeeper and Membership & Engagement Director to ensure alignment across systems and communications.
  • Proactively flag issues, discrepancies, or time-sensitive matters to the appropriate staff member.

Qualifications

  • Strong organizational skills and exceptional attention to detail.
  • Comfort with basic financial handling (e.g., check deposits, transaction logging).
  • Experience with administrative systems, databases, or CRM tools preferred.
  • Clear written and verbal communication skills.
  • High level of discretion and professionalism when handling sensitive information.
  • Familiarity with synagogue or nonprofit environments is helpful but not required.
  • Ability to pass a criminal background check.
