Position Summary

The Project & Administrative Manager is a new, full-time role on the JFN’s Philanthropic Engagement (Membership) team, reporting to the Vice President, Philanthropic Engagement. The Membership team works collaboratively across the team and with other departments within JFN (and globally); the person in this role will own project management and coordination for the team. This person will also provide administrative, regional event, and research support.

The ideal candidate for this role is solution-oriented and can creatively problem-solve. They are energized working with others, and understand how to “manage up” with their team members. The ideal candidate has excellent written and verbal communication skills. JFN is a fast-paced (and fun) organization and we often pivot directions based on member needs and external circumstances; the ideal candidate is entrepreneurial and leans into change.

Key Responsibilities

Project Management (60%)

  • Coordinate multi-part projects across the Membership team and beyond, creating and maintaining timelines, task lists, and milestones.
  • Support cross-team collaboration, ensuring strong communication and alignment with organizational goals and calendars.
  • Keep projects moving forward by facilitating meetings, documenting next steps, and following up on deliverables, proactively working with team members to keep tasks on schedule.
  • Oversee Membership team Monday.com boards: includes management of current boards, creation of new boards as needed, and contributing Membership information to cross-departmental boards.
  • Provide regular updates to team leadership, flagging challenges and recommending solutions.
  • Assist with prioritization during busy periods and support major organizational projects such as events, campaigns, and program initiatives.

Administrative (20%)

  • Manage calendars, scheduling, meeting logistics, and communication for regional Membership team members.
  • Process reimbursements and payments for regional Membership team members.
  • Prepare materials and logistics for membership meetings, events, orientations, and workshops.
  • Support the administration of the membership database, ensuring records are accurate, confidential, and up-to-date.
  • Other administrative and project management duties as assigned.

Regional Event Support (10%)

  • Assist in planning and logistics for regional events, workshops, meetings, and outreach activities.
  • Support registration processes, communications, and event materials.
  • Track event timelines, deliverables, and post-event reporting requirements.
  • Ensure compliance with organizational policies, event standards, and branding.
  • Assist with budget tracking, invoicing, reimbursements, and vendor coordination.

Research (10%)

  • Assist CEO and other JFN staff members with background research for articles, interviews, and presentations.

Qualifications

  • Experience in nonprofit management, business administration, or related field.
  • Minimum 2–3 years' experience in project or program management, preferably in a nonprofit membership environment.
  • Strong organizational, communication, and interpersonal skills.
  • Proficient with project management tools (Monday, Asana, etc.)
  • Proficient with Microsoft Office suite, Google Workspace, Zoom, and member database systems/CRMs.
  • Ability to work independently and as part of a collaborative team.
  • Attention to detail, with the ability to manage multiple projects simultaneously and meet deadlines.
  • A problem-solver and solution-generator.

JFN offers a competitive compensation and benefits program. Salary range is $60,000-$75,000 depending on experience. This role is remote but must be located within the United States; preference for candidates in the Mountain or Central time zones.
