Community Synagogue of Rye is seeking an experienced Clergy Administrative Assistant to support our Rabbi, Cantor, and Rabbinic Intern.
This is a high-trust, high-responsibility synagogue administrative role at the center of congregational life in Rye, NY. The Clergy Administrative Assistant ensures the smooth functioning of clergy operations, supports lifecycle events, manages communications, and maintains key synagogue systems and records.
This role is also an integral part of the synagogue’s administrative office team, working collaboratively to support coordinated, efficient, and compassionate community operations.
Key Responsibilities
Clergy Operations & Coordination
- Manage clergy calendars, scheduling, and communications
- Coordinate daily workflow and priorities for clergy office
- Serve as a key liaison between clergy, staff, and congregants
- Support planning and execution of clergy-led programs and initiatives
Lifecycle Coordination
- Coordinate logistics for lifecycle events (simchas, funerals, weddings, baby namings, unveilings, etc.)
- Draft and send sensitive communications on behalf of clergy
- Ensure accuracy in ritual details, family records, and service coordination
- Provide responsive support to congregants during significant life moments
Systems, Records & Data Management
- Maintain accurate records in ShulCloud and related systems
- Manage congregational CRM data and updates
- Oversee yahrzeit notifications and memorial plaque workflows
- Maintain cemetery records, deeds, and related documentation
Worship & Communications Support
- Prepare Shabbat and holiday service materials (programs, booklets, presentations)
- Support clergy in producing accurate and timely written materials
- Ensure consistency and accuracy across ritual and service documentation
Office Collaboration
- Work closely with administrative staff across departments
- Support coordinated scheduling, communications, and office operations
- Contribute to a collaborative, responsive, and well-run office environment
Qualifications
- 3–5+ years administrative experience (nonprofit, congregational, or service-oriented preferred)
- Strong organizational skills and ability to manage multiple priorities
- Excellent written and verbal communication skills
- Experience with CRM systems (ShulCloud a plus)
- Proficiency in Microsoft Office, Google Workspace, and Canva
- Comfort learning new systems, including AI tools
- Familiarity with Jewish customs and synagogue life helpful
Work Environment
Full-time, on-site position in Rye, NY. Occasional availability during Jewish holidays, including High Holy Days, is required.
