Position Overview
The B-Mitzvah Coordinator and Office Assistant supports both the lifecycle and administrative functions of the synagogue. In this dual-role position, the individual provides key logistical, administrative, and customer service support across departments, ensuring that Barnert Temple operates with efficiency, accuracy, and warmth.
As B-Mitzvah Coordinator, this person partners closely with clergy, families, and staff to ensure a smooth, meaningful, and well-organized experience for each student and their family. As Office Assistant, they maintain the daily administrative systems that keep the Temple running effectively.
The ideal candidate is organized, friendly, detail-oriented, and able to balance recurring tasks with event-based responsibilities. They should be comfortable working with families, vendors, volunteers, and staff, and capable of managing sensitive information with professionalism and discretion.
This is a part time position requiring 24 hours per week with the ability to add additional hours as needed.
Ideal Candidate
The ideal candidate brings strong administrative skills, excellent communication abilities, and a genuine interest in supporting families through key lifecycle moments. They should be able to manage multiple workflows, respond to inquiries with warmth and clarity, and maintain an orderly, well-functioning office environment.
Experience working in schools, nonprofits, or synagogues is helpful but not required. Empathy, responsiveness, and comfort with managing detailed processes—particularly around scheduling and event coordination—are essential.
Key Responsibilities
- B-Mitzvah Coordination
- Serve as the primary B-Mitzvah Coordinator, managing scheduling, family communication, documentation, and honor assignments.
- Guide families through preparation timelines, forms, and logistical needs.
- Partner with clergy to ensure students and families receive timely, accurate information.
- Provide logistical support for B-Mitzvah rehearsals, services, and related lifecycle events.
- Administrative & Clerical Support
- Provide general administrative and clerical support to all departments.
- Prepare routine reports for staff and lay leadership.
- Manage mailings, data entry, and updates to membership and donor databases.
- Manage vendor accounts payable, including invoice review, coding, processing, and coordination of payments in accordance with financial procedures.
- Maintain orderly office systems and support volunteers with administrative tasks.
- Prepare and send donation acknowledgements.
- Office & Member Services
- Manage changes to the central Temple calendar and event scheduling.
- Support security billing and event coordination.
- Order food and supplies for Shabbat and Temple events.
- Respond to inquiries from members, vendors, and visitors with professionalism and care.
- Records & Documentation
- Maintain and update cemetery records; manage related communications.
- Support the Executive Director and clergy with documentation for lifecycle events, scheduling, and internal processes.

- Strong organizational and administrative skills.
- Excellent communication skills, especially with families and volunteers.
- Ability to maintain confidentiality and exercise good judgment.
- Comfort with technology, databases, and scheduling systems.
- Ability to manage multiple projects in a fast-paced environment.
- Warm, welcoming, and professional demeanor.
Preferred Qualifications
- Experience in a synagogue, school, or nonprofit administrative role.
- Familiarity with Jewish lifecycle events (training provided if needed).
- Experience with ShulCloud, Microsoft Office, and/or communication tools.
