Executive Operations Associate

Full Time (40 hrs/week)

 

Beth David Reform Congregation is a warm, diverse, intimate, joyful Jewish congregation of 300 member families in Gladwyne, PA. Our mission, inspired by Jewish tradition, is to build a community that helps us pursue the best in ourselves and the repair of the world.

 As our new Executive Operations Associate, you will play a vital role in two areas: supporting our clergy as they meet the spiritual needs of our congregation, and working with our executive director to ensure the smooth operation of the office. As the initial point of contact for many visitors to our congregation, and a friendly face to many regulars, you will also play an important role in helping to make people feel welcome at Beth David.

 Start date is flexible, but early 2026 is preferred. The position is currently open.

 Job Requirements:

  • Strong organizational skills.
  • Clear written and oral communication skills.
  • Excellent interpersonal skills.
  • Some Bookkeeping skills including payables and receivables.
  • Computer proficiency with knowledge of or willingness to learn and utilize the following software: Microsoft Office Suite, Google Workspace, Quickbooks, CRM software, Calendly, Canva, and other technology as needed.
  • Flexibility and ability to manage multiple priorities.
  • Sensitivity to ensure confidentiality and discretion in all matters relating to personnel, financials, and member information.
  • Work experience and a Bachelor’s Degree preferred.

 

Core Areas of Responsibility

 Executive Assistance to the Clergy:

  • Calendar management for the clergy (both Rabbi and Cantor), including oversight of online calendars and correspondence by phone and email to schedule or reschedule meetings.
  • Inbox management for the Rabbi, including flagging important emails for follow-up, and responding to and composing correspondence that does not require the personal attention of the Rabbi.
  • Administrative support for the clergy’s pastoral work, including phone calls to members and tracking the clergy’s visits and communications using CRM software.
  • Logistical support for programming, meetings, and lifecycle and religious events, including communication with volunteers, publicity, purchasing, and ordering food. Preparation of printed or digital publicity materials, photocopies, scanning, mailing, etc. Tracking and submitting reimbursements. Anticipating needs for upcoming programs.

 Operations Assistance:

  • Supporting the Executive Director to ensure the smooth operation of the synagogue.
  • Answering phones during office hours, welcoming people to the building, and screening calls for the senior staff.
  • Working with the Executive Director and a third party accounting firm to process accounts payable and receivable, and monthly billing.
  • Working with the Board of Trustees, Finance Committee, and Fundraising Committees to accurately maintain the CRM database and generate reports.
  • Corresponding with members of the Board of Trustees and providing support for board meetings.
  • Assistance in posting to social media and maintaining the website.
  • Other duties as assigned.

 

Hours

40 hours per week

The workweek, hours of work and work locations are determined by the Full Time Professional Staff in order to meet the goals and objectives of BETH DAVID.  Alternative work schedules and locations may be implemented, but any such arrangements must be approved in advance and at the sole discretion of the Professional Staff responsible.

Flexibility regarding hours including some evenings or weekends will be required, usually with advance notice and compensatory time. The Jewish calendar and events are seasonal. The office is closed for some Jewish holidays, and you will have off on those days, but some work will be required during the High Holy Days and other special events.

 

Salary: $45,000

Benefits: Benefits package to include medical coverage, paid time off and retirement plan.

Reports to: Executive Director in consultation with Clergy
