Temple Israel of New Rochelle is seeking a professional, conscientious, and detail-oriented individual who enjoys making a difference and being part of a team. This vital position directly supports the clergy of Temple Israel and serves as a warm, welcoming face of our congregation. The ideal candidate will balance high-level administrative logistics and data management with a compassionate, patient approach to community relations.

Key Responsibilities

Lifecycle & B’nei Mitzvah Coordination

  • Family Liaison: Serve as the primary administrative partner and guide for B’nai Mitzvah families, managing milestone communications with empathy and clarity.
  • Logistics Management: Coordinate B’nai Mitzvah scheduling, including clergy calendars, family/tutor meetings, sanctuary rehearsals, and photography appointments.
  • Materials & Honors: Oversee the preparation of all educational materials, gifts, and student resources, ensuring seamless execution for each lifecycle milestone.
  • Program Support: Coordinate administrative logistics for lifecycle events, including births, weddings, conversions, funerals, and High Holy Days honors.

Worship Service & Event Logistics

  • Calendar Operations: Sync the master worship calendar with custodial and administrative teams to ensure flawless setup for services, lectures, Torah study, and family classes.
  • Lay Leadership Coordination: Manage the scheduling, outreach, and briefing process for Board representatives and ushers for all Shabbat services.
  • Digital Platform Management: Schedule and oversee all worship services on the congregation’s livestreaming platform.

Clergy Support & Communications

  • Executive Support: Manage complex calendars, scheduling, and pastoral care tracking for the clergy team.
  • Print Design: Write, design, and produce the weekly Shabbat leaflet and special service programs using Adobe InDesign.
  • Digital Communication: Author and distribute the weekly temple-wide e-blast using Constant Contact.
  • Correspondence: Manage member correspondence and the formal acknowledgment of donations.

Database Management & Records (Yahrzeits)

  • CRM Administration: Maintain accurate lifecycle, membership, and yahrzeit (memorial) records within ShulCloud.
  • Pastoral Outreach Support: Run weekly yahrzeit reports to notify families of upcoming observances and seamlessly manage special clergy requests regarding pronunciations and service dates.
  • Memorial Tracking: Oversee the administrative process, ordering, and installation of congregational memorial plaques.

Preferred Qualifications

  • Education & Experience: Bachelor’s degree preferred, with a background in administrative coordination within a congregational, non-profit, or customer-facing environment.
  • Technical Proficiency: Strong command of MS Office. Direct experience with ShulCloud (or similar database/CRM platforms), Adobe InDesign, and Constant Contact is highly preferred.
  • Core Competencies: Exceptional written communication, meticulous attention to detail, and a high level of organizational capability.
  • Cultural Familiarity: Ability to decode Hebrew (read/phonetically pronounce text without needing to translate).
  • Collaborative Spirit: A proven team player capable of managing competing priorities with grace and professionalism.
