ABOUT THE ROLE

Position Summary

The Marketing and Donor Engagement Coordinator provides essential administrative and operational support to AFBIU’s Marketing and Donor Engagement team. This execution-focused role supports accurate data management, donor communications, and day-to-day coordination across marketing, fundraising, and stewardship efforts.

The Coordinator assists with CRM data entry, research, reporting, and content preparation, while supporting campaigns, events, and donor communications. This position is well suited for a highly organized, detail-oriented professional who enjoys managing processes, supporting multiple priorities, and keeping systems accurate and up to date.

Responsibilities

Administrative & Operations Support

  • Provide day-to-day administrative support to the Marketing and Donor Engagement team.
  • Maintain calendars, schedule meetings, and coordinate logistics for internal and donor-related activities.
  • Organize and maintain shared files, documentation, and contact lists.

CRM & Data Management

  • Support pledge tracking, gift commitment and other data entry, data clean-up, and routine database maintenance in Raiser’s Edge with a high level of accuracy.
  • Generate donor lists, mailing lists, and basic reports to support fundraising, marketing, and stewardship.
  • Help ensure accurate and timely data coordination across Development, Marketing, and Finance departments by pulling, aggregating, and distributing data.

Research & Fundraising Support

  • Conduct basic donor and prospect research.
  • Assist with preparation of donor-facing materials, including proposals, briefings, and stewardship communications.
  • Support reporting and tracking related to donor engagement, campaigns, and outreach.

Marketing, Communication and Event Support

  • Assist with preparation and formatting of marketing and donor engagement materials, including presentations, flyers, and email content.
  • Use Canva to update materials in alignment with brand guidelines.
  • Support distribution of communications, including mailings, digital outreach, and press distribution to the team.
  • Provide administrative and logistical support for donor events, meetings, and virtual programs. (RSVP tracking, preparation of materials, and post-event follow-up)
  • Support coordination of multiple projects to help ensure deadlines and deliverables are met.

Expertise and Experience

Required:

  • Bachelor’s degree required or equivalent professional experience.
  • Minimum 1–2 years of relevant experience in administrative support, development operations, marketing coordination, or a nonprofit environment.
  • Experience using Raiser’s Edge or a comparable CRM.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.

Preferred:

  • Working knowledge of Canva.

Location and Work Arrangements

AFBIU values in-person collaboration and teamwork, so our NYC-based team members work from our NYC office Monday to Thursday and remotely on Fridays.

Additional Information

Travel: Occasional domestic and international travel.
