Position Summary

The Director of Operations translates strategic priorities into effective systems and processes, serving as the primary steward of day-to-day operations and internal infrastructure. This position reports to and partners closely with the Executive Director and supervises administrative, technological, and facilities-related functions.

 

Core Responsibilities

Operations

  • Oversee day-to-day administrative operations of the synagogue
  • Serve as the primary owner of office systems, workflows, and procedures
  • Ensure adequate office coverage for phones, door, and basic administrative needs
  • Supervise Office Assistant

Systems & Technology

  • Oversee office technology including phones, copiers, software, and staff equipment
  • Coordinate with IT vendors and troubleshoot systems issues
  • Oversee audio visual equipment throughout the building including sound system, video streaming, and projection systems
  • Ensure staff are trained and supported in core systems (e.g., Microsoft tools, CRM)

Facilities & Security

  • Supervise Facilities Manager
  • Oversee building insurance coordination
  • Develop and maintain security protocols and training
  • Lead long-term facilities planning in partnership with ED and Facilities Manager

Human Resources Operations

  • Supervise payroll assistant in processes and submissions
  • Support administration of employee benefits
  • Manage onboarding and offboarding processes
  • Maintain personnel files and compliance documentation
  • Support HR compliance and policy implementation (final authority remains with ED)

Administration

  • Oversee donation recording and acknowledgement process
  • Support financial administration such as invoice submission and payment follow up and check deposits and online payments
  • Oversee rental contracts and payments

Qualifications

  • 5+ years of operations, administration, or nonprofit management experience
  • Strong organizational and technological skills (training in specific systems will be provided)
  • Excellent communication and problem-solving abilities
  • Comfort supervising staff and managing vendors

Schedule

This is a full-time, salaried exempt position with in-office attendance expected Monday-Friday. The typical schedule is approximately 7:45 a.m.-3:45 p.m. in order to provide adequate building coverage. The Director of Operations is expected to manage responsibilities in alignment with organizational needs, which may require flexibility and a change in hours as needed.
