Position Summary
The Administrative Assistant will provide comprehensive administrative and operational support to the Birthright Israel North America (BRINA) team. This role is essential for maintaining efficient office operations, coordinating high-level meetings and events, and providing executive support to the Executive Vice President. Location
New York, NY (Hybrid; 4 days/week in-office)

Reports To
Executive Vice President, Birthright Israel North America

Compensation
Salary Range: $60,000-$75,000

FLSA: Non-Exempt

Key Responsibilities

  • Office Operations & Administration
    • Manage the reception area, ensuring all phone, mail, and visitor interactions are handled professionally and efficiently.
    • Oversee and coordinate day-to-day administrative operations for the BRINA office.
    • Represent BRINA in internal committees and discussions related to office operations, including facilities, security, and workspace planning.
  • Meetings & Event Coordination
    • Coordinate BRINA staff meetings and major U.S.-based Taglit gatherings, including Board, Education, and Volunteer Committee meetings.
    • Manage all logistics, scheduling, materials preparation, and meeting documentation, including minutes.
    • Build and manage relationships with preferred hotel vendors and oversee related contracts.
  • Executive & Staff Support
    • Provide comprehensive administrative support to the Executive Vice-President, including calendar management, travel arrangements, e-mail management, task management, and general coordination.
    • Manage all scheduling and logistics for the Taglit CEO during North America visits.
    • Coordinate travel and accommodations for visiting Taglit and BRINA staff in New York.

Qualifications

  • Exceptional organizational and multitasking skills, with the ability to prioritize competing demands and adapt to changing needs.
  • Strong administrative and project coordination experience.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and judgment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Salesforce; experience with Microsoft CRM is a plus.
  • Willingness to work occasional evenings and weekends as needed.
