ADMINISTRATIVE ACCOUNTANT

 

A high-net-worth family is seeking an experienced part-time Administrative Accountant to join our family office in Midtown Manhattan. This is a unique role combining hands-on accounting and administrative responsibilities to support the financial operations and daily management of a private investment portfolio and personal affairs. The position requires discretion, precision, and the ability to interface professionally with advisors, accountants, and the family.

 

JOB DESCRIPTION:

  • Support and collaborate with outside accounting, legal, and tax professionals to craft the optimal strategies for tax planning and compliance, as well as creative planning for succession and wealth transfer.
  • Interface in quarterly meetings with key family members and other top-tier professionals who have a history of involvement with and in-depth knowledge of the matters of the family office.
  • Manage and process capital calls, investment payments, and related documentation.
  • Interface with the Senior Investment Officer and the Chief Operating Officer of the family’s foundation to oversee the investment portfolio, tracking cash flows, income, and capital activity.
  • Coordinate with the Investment Advisory Committee and the Family Office Advisory Committee, including preparation of materials and follow-up on action items.
  • Review tax returns prepared by external accountants for the CEO and family and ensure accuracy and timely filing.
  • Set up and manage autopay systems for the CEO’s recurring obligations.
  • Handle asset transfers, deposits, payroll, and other cash management functions.
  • Schedule meetings, maintain calendars, and collect messages as needed.
  • Coordinate cash transfers and liaise with banks, and advisors to ensure smooth operations.
  • Process expense payments, maintain detailed records, and support reconciliation activities. 

 

QUALIFICATIONS:

  • CPA required
  • 5+ years of relevant experience in accounting, finance, or family office administration.
  • Strong working knowledge of accounting principles, tax, and financial reporting.
  • Experience with personal financial management, investment tracking, or high-net-worth individuals preferred.
  • Exceptional organizational skills and attention to detail.
  • Must be forward-thinking and constantly willing to identify new planning opportunities as circumstances change.
  • High degree of discretion, integrity, and confidentiality.
  • Strong communication and interpersonal skills for interfacing with advisors, accountants, executives and the family.

 

COMPENSATION PACKAGE:

  • $150,000.00 annually commensurate with qualifications and experience
