Position Overview

We are seeking a highly organized and emotionally intelligent Executive Assistant to support our Senior Rabbi. This role is pivotal to the success of the Senior Rabbi’s office and the congregation’s mission. The ideal candidate will act as a "bridge" between the Rabbi and the community, managing complex logistics while providing a warm, professional presence that reflects the values of Beth El.

Primary Responsibilities

  • Strategic Calendar Management: Oversee the Senior Rabbi’s intricate schedule, including pastoral counseling, lifecycle events (weddings, funerals, b'nai mitzvah), committee meetings, and speaking engagements.

  • Communication & Gatekeeping: Manage a high volume of emails and phone calls. Ensure important messages are prioritized and responded to in a manner that reflects the Senior Rabbi’s voice and professional standards.

  • Technological Support: Proactively bridge technology gaps by assisting the Senior Rabbi with digital tools, presentation materials, and troubleshooting communication devices to ensure seamless workflow.

  • Staff & Member Liaison: Act as a professional representative of the Senior Rabbi’s office when interacting with the Board of Trustees, auxiliary organizations, staff, and congregants.

  • Confidentiality & Stewardship: Handle sensitive information regarding congregant files and personal matters with absolute discretion and integrity.

Qualifications & Competencies

  • High Emotional Intelligence: Ability to interact with congregants during sensitive moments with empathy, patience, and poise.

  • Organizational Mastery: Exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.

  • Technical Proficiency: Skilled in Google docs, slides, sheets and/or Microsoft Office 365, digital scheduling tools, and comfortable learning new synagogue management software (e.g., ShulCloud).

  • Professional Conduct: Commitment to the highest standards of ethics, including honesty, empathy, accountability, and a business-appropriate professional appearance.

  • Cultural Competence: An understanding of Jewish traditions, holidays, and communal life is preferred.

Employment Terms & Policies

  • Schedule: Generally aligned with administrative core hours (8:30 a.m. to 5:00 p.m.), though flexibility is required to meet the unique demands of the rabbinate and Jewish calendar.

  • Facility Policy: Beth El is a Kosher facility; all employees must adhere to the food policy for items brought into the building.

  • Background Check: All offers are contingent upon a satisfactory background investigation.
