Education & Bet Mitzvah Program Manager

Position Overview

Congregation Har HaShem is seeking an exceptionally organized, relationship-oriented professional to serve as our Education & Bet Mitzvah Program Manager. This role is the organizational heart of our Lifelong Learning programs, ensuring that every student, parent, and family experiences a welcoming, seamless, and meaningful journey through Jewish learning.

From helping a new family register for Religious School to guiding parents through the Bet Mitzvah process, this position combines outstanding project management with genuine hospitality and care. Working closely with our clergy, Director of Lifelong Learning, educators, mentors, and families, you will coordinate the details that make our educational programs thrive while helping every participant feel noticed, supported, and connected.

Key Priorities

As the Education & Bet Mitzvah Program Manager, you will:

  • Create a seamless experience for families participating in our Lifelong Learning and Bet Mitzvah programs.
  • Ensure educational programs run smoothly through exceptional organization, communication, and follow-through.
  • Serve as a warm, welcoming first point of contact for current and prospective families.
  • Build strong partnerships with clergy, educators, mentors, volunteers, and staff.
  • Manage the systems, calendars, registrations, communications, and logistics that allow our programs to flourish.
  • Help create joyful, organized, and meaningful Jewish learning experiences for children, teens, and families.

What You'll Own

Lifelong Learning Programs (Pre-K through Adult Learning)

You'll oversee the administrative coordination that keeps our educational programs running smoothly.

Responsibilities include:

  • Maintain public and internal program calendars.
  • Create and manage registrations for Religious School and educational programs.
  • Maintain current program descriptions and website content.
  • Respond to inquiries from prospective and current families via phone, email, Zoom, and in person.
  • Update and maintain participant information in our database.
  • Coordinate room setups with Facilities staff.
  • Order food and supplies for educational programs.
  • Maintain inventories of educational materials and supplies.
  • Coordinate follow-up communications after programs.
  • Serve as lead administrator for major educational events.
  • Prepare and distribute weekly Religious School communications.
  • Provide on-site administrative support during Sunday morning and Wednesday evening Religious School.

Bet Mitzvah Program

You'll help guide families through one of the most meaningful milestones in Jewish life.

Responsibilities include:

  • Maintain all Bet Mitzvah calendars and scheduling systems.
  • Track family progress throughout the Bet Mitzvah journey.
  • Schedule clergy appointments and coordinate mentor assignments.
  • Serve as the primary administrative contact for Bet Mitzvah families, answering questions and providing guidance.
  • Coordinate communication between families, clergy, Hebrew mentors, and staff.
  • Maintain Bet Mitzvah resources, materials, and congregational gifts.
  • Partner with the Facilities Manager and families to coordinate logistics for Bet Mitzvah celebrations.
  • Ensure each family experiences a thoughtful, organized, and welcoming process from start to finish.

Sababa After-School & Camp Programs

  • Manage enrollment and registration records.
  • Coordinate billing and participant records.
  • Support administrative needs throughout the school year and summer programming.

Program Operations

You'll also provide operational support across the Lifelong Learning department by:

  • Managing multiple complex calendars, timelines, and projects simultaneously.
  • Maintaining accurate spreadsheets, databases, and documentation.
  • Tracking deadlines across multiple programs.
  • Preparing reports and administrative materials.
  • Supporting special events and community programs.
  • Completing additional projects as assigned.

  • Enjoys solving problems and finding efficient solutions.
  • Communicates warmly and professionally with families, volunteers, and colleagues.
  • Takes initiative and works independently while collaborating effectively with a team.
  • Is comfortable learning new technology and managing multiple software platforms.
  • Has experience working with spreadsheets, databases, Google Workspace, Microsoft Office, websites, and preferably ShulCloud (or similar CRM/database systems).
  • Brings a positive, flexible, "can-do" attitude.
  • Is eager to learn about Judaism and support a vibrant Jewish community. (Jewish knowledge is helpful but not required.)

Schedule

This is a full-time, in-person position.

The schedule aligns with our Religious School calendar and includes:

  • Sundays: 8:00 a.m.–2:00 p.m. during the school year
  • Wednesdays: 12:15 p.m.–8:15 p.m. during the school year
  • Fridays off during weeks when Religious School meets on Sunday
  • Occasional evening and weekend events

Physical Requirements

  • Ability to sit or stand for extended periods.
  • Ability to lift and carry up to 25 pounds.
  • Ability to climb a flight of stairs.
