Michigan Region Finance Assistant

Job Description Summary:      

  • The Finance Assistant manages regional finances relating to the region’s activities (annual campaign, regional events, general office), as well as provides support to the Regional Director and Development Manager in the production of the region’s fundraisers and annual campaign-related fundraising efforts.
  • The Finance Assistant manages the region’s Tribute Program.
  • The Finance Assistant performs various administrative duties, including but not limited to: scheduling and prepping for meetings and presentations, taking phone calls, helping with mailings, and helping to maintain and organize office supplies.
  • In all responsibilities, Finance Assistant will cultivate positive relationships with donors, sponsors, vendors, and volunteers and provide support for key leaders. 
  • Ability to work additional hours, including evenings and weekends leading up to the region’s four annual events.

 

Specific Financial Responsibilities:

  • Manages all Account Payable and Accounts Receivable, invoicing donors and processing payment for all vendors in a timely manner.
  • Writes thank-you letters for donations and sponsorship money received.
  • Prepares invoices for donors and sponsors and is responsible for billing until donations are received.
  • Prepares all UDF donation forms for remittance to National Office, following all procedures defined by National.
  • Reconciles monthly bank account.
  • Analyzes and inputs Monthly Financial Activity Report from NY headquarters.
  • Prepares financial statements and reports for Board Meetings and is responsible for understanding the report and being able to give presentation to Treasurer, Presidents and all who have questions.
  • Prepares and submits all financial documents requested by National office, including event and quarterly reports

 

Specific Event-Related Responsibilities

  • Oversee financial components of all regional Events, including sending out invoices to ad donors, event attendees, raffle buyers and auction buyers; processing all raffle ticket requests, including invoicing; sending out raffle ticket stubs; and sending out receipts.
  • Create and brings to the event all financial reports needed including registration, raffle ticket spreadsheets, and more.
  • Oversee and manages event registration at every event, including RSVPs, invoicing, following up if contact information is not collected, and updating committee on Registration

 

Education Required:

  • Candidate must have a minimum 4-year college degree.

 

Experience Required:         

  • Minimum of five-years professional experience working full-time in an office setting.
  • Must have experience as a bookkeeper.
  • Experience in fundraising and event planning desirable.
  • Must possess excellent communication and interpersonal skills, and be willing to call donors, prospects, lay leaders, vendors, etc. as needed.
  • Must be able to effectively present information in one-on-one and group situations.
  • Open to change and be able to adapt performance to meet the requirements of a changing work environment.
  • Must be able to work individually and as part of a team within general guidelines.
  • Must have excellent problem solving and people skills, as well as the ability to interact effectively with leadership. 
  • Must be able to multi-task and possess efficient time management skills.
  • Must excel in a fast-paced environment, work well under pressure, and adhere to strict deadlines.
  • Must be extremely organized and detail-oriented.
  • Must possess excellent computer skills, including MS office, and must have strong verbal and written skills.
  • Must have data entry experience. Prior work in Raiser’s Edge helpful.
  • Experience with or knowledge of the Metro Detroit Jewish Community highly desirable.
  • Experience in the Jewish not-for-profit field helpful.

 

Technical Skills:

  • Proficiency in advanced functions of MS Office, particularly Word, Excel, and PowerPoint, including previous experience with Mail Merges. 
  • Proficiency in or ability to learn Raiser’s Edge, as well as additional CRM and applications.
  • Ability to learn online auction platform.

 

Physical demands:

  • Required to be on your feet for long periods on event days; including during set-up and strike 
  • Physical demands include lifting and moving event materials (ie boxes of auction items, event signage, easels, additional event items)
