Overview

 

The Congregational Administrative Assistant (CAA) is the friendly, tech-savvy, helpful liaison between Beth Am’s 3,000 congregants, dozens of active congregant-led clubs and initiatives, our wonderful staff, and all the rich opportunities for congregational life. The CAA helps organize the schedule and communication of our Assistant and Senior Associate Rabbis as they relate to groups and events, but not confidential pastoral care. The CAA serves as a critical support for large congregational events. Sitting in Beth Am’s administrative office, this in-person role is a warm first point of contact and resource for congregants and visitors.

 

The position is paid hourly, with a base schedule of 20 hours a week, and the possibility of additional hours around preparation and hosting high-attendance events. Over time, if budget allows, this position could be expanded to full time. The position reports to the Executive Director.

 

Compensation

 

$28 - 33 per hour

 

Base Schedule

 

Monday: generally off, with a few exceptions

Tuesday: 12-5 pm

Wednesday: 12-5 pm

Thursday: 12-5 pm

Friday: 11am - 4 pm

Weekends generally off, with rare exceptions

 

Responsibilities of this position include:

 

  • Managing scheduling for group meetings with staff: emailing, organizing, using digital scheduling tools.
  • Congregant Lifecycle administrative work
    • Preparing digital and print lifecycle programs and administrative documents for clergy leading lifecycle events
    • Sending congregational emails relating to lifecycle events
    • Ensuring information about congregant needs and celebrations are shared fully and in a timely manner with all relevant staff, managing our online congregant care management system
  • Shulcloud database management, support, and updating
    • ShulCloud administrator, responsible for inputting notes for congregants, managing form registration and reminders, 
    • Congregational tech support - helping congregants sign in, sign up for events, navigate ShulCloud
  • Front office presence and general administrative work
    • In-person and on-phone first impression for visitors and congregants: greeting, helpful information, proper direction
    • Mastery of Microsoft office suite and its Google counterparts, especially Excel and Sheets.
  • Supporting smooth event function all year. Minor tech fixes and zoom set ups for congregant meetings and events, as requested
  • Other duties as assigned
    • Preparing event supplies, mailings, etc.
    • Must be able to carry and walk with 20 lbs in boxes or supplies
