The Executive Administrative Assistant for Rabbi will often be the first point of contact for members, prospective members and the community.  They will also be the brand manager for the Rabbi.  This position will report to the Office and Communications Manager & Rabbi and will work closely with all clergy.  This position is responsible for correspondence for the clergy including, B’nai Mitzvah correspondence and meeting scheduling, and thank you letters. The Executive Administrative Assistant is someone who cares deeply about non-profit work and making the synagogue experience the best it can be for our congregants.

The successful candidate will possess keen attention to detail, follow-through skills, and will demonstrate dependability.  Experience with schedule management, organizational systems and customer service management systems.

Task Dimensions and Examples:

  • Serve as receptionist for the congregation.
  • Update CSM system including membership information, donations, dedications and yahrzeits.
  • Correspondence for the Rabbi including thank you letters, donor acknowledgement, community letters, and others as requested
  • General office and administrative support
  • Assist Executive Director on congregation communication including, thank you letter, and donor acknowledgements
  • Support Office and Communications Manager with office supply maintenance and acquisition
  • Send out monthly and weekly Yahrzeit reminder emails/letters
  • Compile documents for Shabbat including list of upcoming events, weekly Yahrzeit list, list of recent deaths and list of community members that are ill.
  • Support clergy with B’nai Mitzvah correspondence and scheduling including:
    • Sending dates for B’nai Mitzvahs
    • Scheduling meetings with Rabbi, Cantor and B’nai Mitzvah Coordinator
    • Set up photography session
  • Oversee Minyan schedule for all members
  • Manage Usher and Bimah Duty reminders
  • Support synagogue in other needs as they arise

Qualifications/Skills:

  1. Bachelor's degree including communication would be helpful
  2. Non-profit experience preferred, but not required
  3. High level of proficiency in Microsoft Office programs, including Excel and Outlook
  4. Excellent written and oral communication skills
  5. Detail-oriented and able to multi-task
  6. Flexibility to accept new responsibilities and direction as necessary
  7. Cost-conscious
  8. Self-motivated
  9. Ability to prioritize
  10. Ability to undertake multiple deadline-driven tasks
  11. Ability to work well both independently and in a team environment
