Position Summary

Reporting to the Executive Director, the Operations Manager works as part of a passionate team to increase the impact of Israel and Holocaust education in the region. This position is tasked with day to day financial administrative work, and also works closely with the CWB team to assist with program coordination. A creative, friendly, detail-oriented, and community-focused professional, the Operations Manager collaborates with a variety of clients, vendors, and internal staff to help ensure that CWB programs are efficient and successful from conception to completion. This is a full time position.

 

RESPONSIBILITIES: Including, but not limited to:

 

Accounting Management

  • Manage payment process for all seminar participants from initial invoicing to payment in full
  • Manage multiple concurrent projects and budgets
  • keep accurate records of program expenses and revenue, producing up- to-date budget reports
  • Prepare and submit all CWB staff and client expenses for reimbursement
  • Work closely with accounting department to manage payment of AP invoices via check and international wire requests
  • Reconcile CWB records with Accounting records to ensure accurate and timely payment of invoices and disbursement requests
  • Prepare bank deposits
  • Assist in tracking donations, keeping accurate records, and following up with all donors

 

Operations & Program Coordination

  • Design organizational processes and procedures for efficiency and sustainability
  • Assist (or Lead) in planning special projects including events, exhibits, conferences,
  • Assist in all aspects of administration for travel study seminars
  • Assist in meeting preparation, set up, moderation, and follow up
  • Assist in collecting copies of seminar participants’ personal travel documents, obtain signatures for liability releases, communicate seminar payment schedules
  • Clerical support and data entry for participant documents, run reports and create spreadsheets as assigned
  • Assist in coordinating all pre-seminar preparatory meetings & lectures
  • Assist in compiling detailed travel itineraries for all seminar participants
  • Help coordinate printing of seminar materials
  • Office and office supply management
  • Communicate and coordinate with local schools and community centers in order to increase awareness of CWB travel seminars

 

  • Prepare and edit correspondence, reports, and presentations for a wide range of projects, meetings, and events
  • Assist in grant research, tracking, and writing

 

 

QUALIFICATIONS: The ideal candidate will have demonstrated skills, knowledge and experience in the following areas:

  • High proficiency in Microsoft Office Suite and Excel specifically. Experience and confidence working with Salesforce, Wordpress, and various online software platforms is
  • Bachelor's degree preferred, or equivalent Minimum 1 year prior experience.
  • Professional demeanor, discretion and Dependability and the ability to maintain confidentiality.
  • Excellent communication and organizational skills with extraordinary attention to
  • Ability to work with minimal supervision in a fast-paced environment, prioritize assignments and handle multiple responsibilities.

 

PHYSICAL DEMANDS/ WORKING CONDITIONS

Nature of work requires an ability to operate standard business office equipment. Also requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files, as well as sitting at a computer desk. Work performed in a general office environment.

Compensation: Commensurate with experience, education and previous related achievements. The position is full time as an independent contractor or as an employee with a competitive benefits package.
