Description

Congregation Or Shalom, a warm and inclusive community in Vernon Hills, Illinois, is excited to welcome a friendly, experienced Program Coordinator to our team. In this role, you will support the overall engagement and programming of our Or Shalom community and provide general administrative support in our office. The ideal candidate will be highly self-motivated, meticulous, compassionate, and will be comfortable working in a collaborative environment. We seek a relationship builder with strong customer service skills and someone who understands that every role serves to strengthen the whole of the team.

Due to the nature of this part-time position (25 hours weekly), and the need to provide support while the office is open, you must be available to work in-person at Congregation Or Shalom during the following times:

  • Mondays: 9:30am – 4pm (6.5 hours)
  • Tuesdays: 9:30am – 2:30pm (5 hours)
  • Wednesdays: 9:30am – 2:30pm (5 hours)
  • Thursdays: 9:30am – 2:30pm (5 hours)
  • Fridays: 9:30am – 1pm (3.5 hours)

There is the possibility to expand this role for candidates who are interested in a full-time position, or shift the hours based on a candidate’s availability. Please share your availability needs in your cover letter if they are different from what’s listed.  

 

RESPONSIBILITIES

Program & Engagement Administrative Support:

  • Provide administrative support for all programs, events, ongoing classes, and seminars, including registration and logistics coordination
  • Manage event RSVP lists and do regular outreach for upcoming events
  • Monitor and update the calendar with all program information and coordinate with lay leaders and staff to collect accurate program information for marketing materials
  • Administer program evaluations, track participation data, and support annual data evaluation processes
  • Track and evaluate asset-based community development data of our member’s skills and interests and support engagement efforts to build regular new, innovative and responsive programming opportunities
  • Work with the operations team to ensure accurate set-ups and logistic needs are met for programs and events. Provide occasional on-site support during events and programs as needed, assisting with setup, coordination, and problem-solving

 

Membership Communications Support:

  • Draft weekly and monthly membership-based marketing email communications
  • Create membership program marketing materials for upcoming programs and events
  • Support social media management on Facebook, Instagram, and other channels

 

Temple Office Support:

  • Support the Executive Director with projects related to the day-to-day operations
  • Greet everyone who walks through our doors with kindness, presence, and a sense of community; manage the flow of guests and groups in the building as needed
  • Respond to incoming calls and emails thoughtfully and professionally; communicate messages to staff for prompt follow-up
  • Maximize the effectiveness of the CRM system; implement administrative best practices that ensure accuracy and consistency of data and ease of use for congregants and staff 

 

ESSENTIAL SKILLS AND EXPERIENCE:

  • Strong relationship building and customer service skills mixed with strong administrative computer-based skills is a must
  • Experience with online communication platforms such as Constant Contact or Mailchimp, and social media platforms preferred
  • Proactive self-starter who is flexible, organized, and extremely adept at multitasking while working in a fast-paced, constantly evolving work environment 
  • Brings ingenuity, flexibility, warmth, grace under pressure, and exceptional interpersonal skills; able to effectively interface with our staff and community
  • Ensures the integrity of the community calendar relating to all programs and events, in coordination with other staff
  • Ability to implement and oversee systems with attention to detail; ability to work independently; resourceful and takes initiative
  • Ready to reprioritize at a moment’s notice, when there is an emergency or issue that needs attention
  • Excellent written and verbal skills
  • Expert level proficiency in Microsoft Office (Word, Excel, Outlook) and experience with Google, data management software, and/or a CRM system preferred; must be computer savvy and possess the ability to learn new programs quickly

Congregation Or Shalom is nestled in the heart of the northwest suburbs of Chicago, at 

21 W. Hawthorn Parkway, Vernon Hills, IL. This is a year-round in-person part-time position.
