itrek launched in 2011 with a mission to empower leaders to engage their networks in meaningful Israel experiences, fostering an understanding and appreciation of Israel’s unique culture, diversity, richness and complex reality. More than 25,000 graduate students representing 130 nationalities from schools in the U.S., Canada and Europe have traveled to Israel through itrek. Over the last two years, itrek has expanded beyond graduate school students by piloting Launchpad, a program that connects with mission aligned leaders and organizations to create Israel Treks for their influential peers and members. 

REALITY, now a key part of itrek, has led more than 3,000 influential leaders from diverse backgrounds and sectors—entertainment, policy, social innovation, technology, and more—on life-changing journeys to Israel over the past 15 years. Together, we inspire participants to deepen their leadership skills, build meaningful peer connections, and develop a nuanced understanding of Israel and the region.

 

Position Overview

The REALITY Program Operations Manager will be responsible for assisting with the design and execution of REALITY’s operational processes and procedures for the pre-Israel Journey, Israel  Journey and post-Israel Journey alumni experience.  The REALITY Program Operations Manager is also responsible for the recruitment readers process, managing the application, registration and onboarding of all Israel journey participants, and the design of all reporting systems to achieve our programming goals. This role requires the ability to be flexible, adapt quickly to changes, and work in a fast-paced environment. 

Reporting to the Senior Director of REALITY, the ideal candidate has a background in operations and project management, Salesforce and data management, and is detail-oriented, responsive, and excels in creating, implementing and monitoring processes and procedures. The ideal candidate has a growth and learning mindset, a strong connection to Israel and understands the importance of a meaningful journey to Israel. 

 

Primary Responsibilities

    1. Operations and Processes
      1. Enhance all operational processes and procedures for the REALITY team and the backend systems (Salesforce, dashboards, reports, forms, and automations) for all REALITY programs.
      2. Serve as the central point of contact on the REALITY team to ensure adherence to best practices, data management and oversight, policies, reimbursements, and other administrative tasks. 

    2. REALITY Journeys
      1. Responsible for the completion of application and registration process
      2. Liaison with our tour operation to handle all travel logistics. 
      3. Manage communications with participants, oversee document preparation, and ensure a smooth experience for all participants.
      4. Execute the onboarding of Israel journey participants including planning orientation sessions, participant bio books, and resource guides,
      5. Liaison with the Operations department to prepare pre- and post-Israel Journey participant surveys, impact analysis, and data tracking and reporting. 
      6. Prepare reports on REALITY’s impact for the Advisory Board. 

    3. Recruitment Readers Process Operations
      1. Create the design and execution of the application readers and selection process, including a scoring rubric, dashboards for selection, and notification of all accepted and waitlisted applicants.
      2. Assist with managing communication to all participants on their acceptance status.

    4. Additional Responsibilities: Perform related tasks according to the organization’s needs.

 

Skills and Qualifications 

  • Minimum of 3 years of experience in operations, project management, data analysis and reporting
  • Bachelor’s degree required
  • Passion for itrek mission, strong connection to and knowledge of Israel 
  • Highly skilled in operations management and a solutions-oriented mindset 
  • Self-motivated, undeterred by obstacles or challenges, with a positive “can do” attitude
  • Excellent written and verbal communications skills in English required
  • Must be able to work effectively independently and with a team in a hybrid environment 
  • Ability to adapt quickly to changing needs and concerns
  • Willing and able to travel within the US, Israel and abroad 10-20% of the time
  • Proven proficiency with Google Workspace and Salesforce
  • Comfortable with technology to learn and utilize project management software tools

Salary range $70,000 - $75,000; commensurate with experience
