Administrative Assistant
Position Description
This job supports the Rabbi of Congregation Shir Ami. It indirectly supports the Board of Trustees, and members of the congregation in a variety of administrative ways.
Essential Job Functions
• Monitor phone messages and emails and handle appropriately and/or forward to appropriate person
• Monitor social media for messages and forward to appropriate person
• Upkeep of calendar for Rabbi and for congregational events
• Create events and send follow up reminders to Rabbi or to event hosts using congregational website
• Create and send announcements to congregation about upcoming events using congregational website
• Create and send reminder announcements for upcoming events using congregational website
• Create and send the Weekly Whisper (weekly newsletter) to congregation using congregational website
• Create and send The Voice (monthly newsletter) to congregation using congregational website
• Assist with Zoom meetings, if needed
• Upkeep of website calendar
• Upkeep of Facebook page
• Maintain confidentiality in all situations
Periodic:
• Run simple reports as requested on congregation website
• Maintain and purchase office and synagogue supplies
Skills and Abilities:
• Skilled in Google Drive, Google Docs, Google Calendar and Gmail
• Skilled in Microsoft Suite (Word, Excel)
• Skilled in Zoom scheduling
• Skilled in website maintenance (willing to train) and social media
• Ability to coordinate multiple calendars, foresee and plan for the logistical needs of programs and services
• Ability to organize and manage multiple projects
• Ability to meet deadlines
• Ability to maintain cooperative working relationships with our Rabbi, staff, Board of Trustees, members, and prospective members
• Ability to coordinate with other professionals and volunteers that may support our congregation and community
• Ability to be self-directed, detailed oriented, flexible, and highly motivated
• Possess excellent written, oral, and interpersonal skills with the ability to ask questions and learn
