Job Title: Program Logistics Associate
Reports to: Program Operations Manager
Works closely with: Director of Education, Fellowship Staff, and Manchim
Position Overview:
The Program Logistics Associate plays a central role in the design, delivery, and daily functioning of the Fellowship year programs. Working closely with the Program Operations Manager and Director of Education, this position supports both the programmatic and logistical dimensions of the Fellowship—helping to shape schedules and learning experiences while ensuring their smooth execution.
Beyond coordinating logistics, the Program Logistics Associate is deeply engaged in program work: collaborating on curriculum planning and scheduling, supporting faculty and speakers, producing program materials, and serving as a primary point of contact for Fellows throughout the year. As a consistent and trusted presence, this role helps create the conditions for meaningful learning, dialogue, and community-building among a diverse cohort of young people.
This is a full-time, full-year position that involves off-site travel. This includes five weeks each summer spent within the United States and Israel. The position is based in New York City with some remote/work from-home flexibility.
KEY RESPONSIBILITIES
Schedule Management & Program Coordination
- Serve as the point person and on-site coordinator for the Fellowship schedule.
- Maintain, update, and communicate daily schedules; anticipate and manage changes as needed.
- Collaborate with the Director of Education to build and refine program schedules.
- Ensure all logistics support the smooth flow of programming and reflect the Fellowship’s values of intentionality and collaboration.
Onsite Logistics & Vendor Coordination
- Act as liaison with venues, transportation providers, bus drivers, and other logistical partners.
- Support on-site coordination for transportation, catering, lodging, and venues.
- Receive and distribute catering orders during off-site programming days.
- Manage group purchases of snacks, supplies, and other sundries as needed.
Program Materials & Faculty Coordination
- Coordinate the creation and production of program materials, including sourcebooks.
- Maintain ongoing communication with faculty, speakers, and visiting artists to coordinate schedules and materials.
Participant & Alumni Support
- Serve as the primary point person for current Fellows between seminars.
- Support Fellows’ health and medical needs, including coordinating care, documentation, and communication with staff.
- Help foster a safe, supportive, and inclusive environment in which Fellows from diverse backgrounds can thrive.
- Coordinating the scheduling, training providers, and content for staff and faculty training.
- Support the Program Officer: Mentoring & Leadership Development in creating programs for Fellowship and Campus Commons young alumni (ages 18–32).
Technology, Recruitment, & Communications
- Manage social media accounts for the Fellowship year.
- Oversee technology for both in-person and virtual sessions.
- Serve as a “Zoom Ninja” during Fellowship virtual sessions, ensuring smooth technical facilitation and participant support.
- Take a lead role in Fellowship recruitment communications and outreach, including representing the fellowship in appropriate settings.
Evaluation & Selection Support
- Assist in the creation and distribution of program evaluations and surveys.
- Analyze and report on survey responses.
- Arrange group workshops, interviews, and other components of the Fellowship selection process.
- Analyze trends and themes from yearly applications to inform recruitment strategy and to provide insights to the education field.
Staff Support and Coverage
- Assist the Program Operations Manager with pre-travel and seminar logistics, including vendor coordination and transportation.
- Collaborate daily with the manchim to ensure the smooth flow of programming.
- Provide logistical and operational support to other staff during leaves or high-demand program periods.

Qualifications
- Strong organizational and time-management skills with keen attention to detail.
- Excellent communication and interpersonal abilities.
- Comfort managing multiple logistics partners, vendors, and stakeholders.
- Experience coordinating schedules and supporting group travel, education programs, or events preferred.
- Proficiency with digital tools (Google Workspace, Zoom, spreadsheets, social media platforms).
- Calm, adaptable, and collaborative in a dynamic environment; anticipates needs and solves problems proactively.
Compensation
Projected compensation range is $55,000 to $65,000 plus a comprehensive and attractive benefits package.
