Position Overview:
The Event Administrator plays a key dual role in supporting Jewish National Fund-USA’s fundraising and event efforts. This position combines administrative excellence with event planning skills to help execute impactful donor events and provide high-level support to fundraising staff. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. This is a full-time position based out of our Rockville Centre, NY office.
This position will be required to travel throughout the Northeast region (from New England down to DC/Baltimore).
Job Responsibilities:
- Collaborate with and provide administrative support to regional fundraisers and leadership, ensuring smooth day-to-day operations.
- Assist with planning and executing event operations and production timelines for events across the Northeast region — including donor receptions, board meetings, virtual events, and other in-person events.
- Schedule event-related meetings/calls, prepare materials, and distribute notes for all event assignments.
- Coordinate logistical aspects of events, including site selection, vendor coordination, supply shipments and event inventory management, communications, staffing, and travel-related arrangements as needed.
- Ensure events are executed within approved budgets, maintaining accurate expense records and working closely with internal teams to manage costs effectively.
- Manage and oversee end-to-end event registration processes, including report generating, RSVP tracking, name badge assembly, and guest communications.
- Work with our Israel Office Administration Manager to coordinate travel, itineraries, calendars and related documents for affiliate speakers.
- Maintain and manage donor records and tracking, ensuring data accuracy.
- Process and code event donations, pledges, and payments in a timely and accurate manner.
- Utilize all appropriate organizational tools, systems, processes, and procedures to ensure accuracy, efficiency, and alignment with internal standards
- Assess and manage potential event risks, oversee vendor compliance, and deliver post-event evaluations to support continuous improvement.
- Support and operate on-site as lead on event assignments, including evenings and weekends on an as needed basis.
- Support special projects and perform other duties as assigned by the supervisor.
Qualifications:
- 1+ years of experience in event planning or administrative support (nonprofit experience a plus) preferred.
- Excellent organizational, communication, and time management skills.
- Ability to multitask, problem-solve, and meet tight deadlines with flexibility.
- High energy, strong attention to detail, and a proactive, team-oriented attitude
- Strong computer skills (Microsoft Office Suite, CRM/Salesforce preferred)
- Experience with virtual events (Zoom) and project management tools (e.g., Asana, Monday.com) preferred
- Available to work nights, weekends, and travel within the Northeast region on an as needed basis.
- Must have a valid US driver's license, personal car, and credit card (reimbursed expenses).
- Ability to lift up to 25 lbs.
