Congregation Brith Shalom  

Job Description 

This full-time professional provides high-level administrative support. This executive will manage operations, coordinate the flow of information, and support clergy and membership. The general role is to maintain the operation and details of the clergy office so that they can function at their highest level. This person will represent the warm and welcoming nature of Congregation Brith Shalom and strive to accommodate and anticipate the member and staff needs with a genuine desire to help. 

DOMAIN AND TASKS 

Clergy support 

  • maintain integrity of clergy calendar by inputting meetings and events accurately and thoroughly and reviewing calendars daily, weekly, and monthly·  
  • schedule and confirm appointments and adjust if necessary 
  • maintain a kind and welcoming stance, even when denying or delaying requests 
  • prepare agenda and information for clergy meetings 
  • follow up on action items from meeting 
  • maintain database 
  • prepare and lead daily project meeting with Rabbi 
  • support clergy pastoral support efforts: maintain database of members in need, schedule visits, follow up with next action items\ 

Ritual Support 

  • gather information from all parties involved in the process to create weekly Shabbat Grid 
  • write script for President announcements 
  • prepare materials, prayer books, and ritual objects for all lifecycle events and services 

Bar/ bat mitzvah coordination  

  • partner with clergy in every aspect of the b’nei mitzvah experience
  • support b’nei mitzvah families through the process 

Clergy teaching support 

  • maintain rosters 
  • track and support students with scheduling, updates and reminders 
  • gather and prepare educational material 

Pastoral Coordination 

  • maintain documentation process for lifecycle and calendar events 
  • revise and update the processes 
  • research and track details of lifecycle events 
  • proactively maintain contact and offer support to members during lifecycles
  • manage the conversion program: track participants, schedule meetings, coordinate conversion ceremony 

Committee Support 

  • maintain committee membership rosters 
  • coordinate meeting calendar with agendas, supplemental material and reminders 

General Synagogue Support 

  • maintain synagogue calendar 
  • reception duties as needed 

 Requirements: 

  • superb telephone, written, and verbal communication skills, with a warm friendly demeanor  
  • high level of professionalism and member focus
  • experience with any type of CRM or donor database, ShulCloud a plus
  • hours will be 40/week and occasional weekend and evening programs
  • bachelor’s degree preferred
  • 2 years of experience in a fast-paced office environment
  • customer service experience
  • proficient in Microsoft Office Suite
  • proficiency with social media (Instagram, Snapchat, Facebook, etc.)
  • preferred: Basic knowledge of Jewish practice, rituals, and culture
