Location: New York City (Hybrid: minimum 4 days/week in Midtown Manhattan office, Remote most Fridays)

Salary Range: $90,000 – $115,000 annually

Reports to: Chief Executive Officer (CEO)

Organization: American Friends of Bar-Ilan University (AFBIU)

Position Summary

AFBIU seeks a poised, highly organized, and proactive professional to serve as Manager of Executive Operations, providing strategic and administrative leadership that enables the CEO, Chief Development Officer (CDO), and Chief Program and Planning Officer (CPPO) to focus on high-level organizational priorities. The ideal candidate is a systems thinker and strategic partner who anticipates needs, drives execution, coordinates cross-functional initiatives, and manages national board operations at the highest level. This individual thrives in a fast-paced nonprofit environment and brings discretion, resourcefulness, outstanding communication and design skills, and sound judgment to everything they do.

Key Responsibilities

Executive Support & Strategic Coordination

  • Serve as the primary point of contact and support for the CEO.
  • Manage CEO’s complex and dynamic calendars, including internal and external meetings, with proactive conflict resolution.
  • Anticipate needs and ensure the CEO is thoroughly prepared for all engagements.
  • Coordinate CEO domestic and international travel logistics, including transportation, accommodations, and itineraries.
  • Draft, proofread, and edit internal and external communications, presentations, talking points, and board materials for CEO, and occasionally CDO/CPPO.
  • Translate complex information into polished, visually compelling content using PowerPoint, Canva, or Adobe InDesign.
  • Track, manage, and enforce follow-up key Executive Office (CEO, CDO and CPPO) tasks and deliverables, ensuring nothing falls through the cracks.
  • Handle highly confidential information with the utmost discretion and professionalism.

Board & Committee Management

  • Serve as the lead administrator and strategic coordinator for AFBIU’s national board and all board committees.
  • Maintain and execute a comprehensive annual board and committee calendar aligned with governance needs, fundraising events, and organizational priorities.
  • Develop and manage logistics for board and committee meetings, including scheduling, venue or virtual platform setup, catering, AV, invitations, RSVPs, and documentation.
  • Prepare and distribute professional-quality agendas, minutes, and meeting materials in advance of all meetings.
  • Track and follow up on board and committee action items and ensure timely completion by relevant stakeholders.
  • Maintain board records, rosters, terms, and governance documentation; manage onboarding and stewardship of new board members.
  • Liaise with board members on scheduling, materials, and requests, representing the CEO/CDO/CPPO in communications when appropriate.
  • Maintain accurate records of board giving and engagement in Raiser's Edge.

Project Management & Organizational Alignment

  • Translate Executive Office vision into actionable project timelines with assigned owners, deadlines, and accountability systems.
  • Monitor progress on cross-functional initiatives and ensure that the CEO, CDO and CPPO only need to engage at critical decision points.
  • Shift executional and administrative tasks from the C-suite to appropriate internal roles, ensuring effective delegation and follow-through.
  • Manage the flow of organizational information to and from the CEO, CDO and CPPO to prioritize their time and focus.
  • Continuously improve executive workflows, project pipelines, and internal communication systems to enhance leadership effectiveness.

Special Projects

  • Provide high-level administrative and project management support on strategic initiatives assigned by the CEO, CDO and CPPO.
  • Support development and fundraising communications, donor stewardship materials, and special campaigns as needed.
  • Partner with the Office Manager and other team members to align on executive needs and organizational priorities.

Qualifications

  • Bachelor’s degree preferred.
  • At least 5–7 years of experience supporting C-level executives, with demonstrated success in a fast-paced nonprofit or mission-driven environment.
  • Strong experience managing board operations or high-level governance support.
  • Superb writing, editing, proofreading, and verbal communication skills.
  • High proficiency in Microsoft Office, especially Outlook, Word, and PowerPoint; comfort with Canva and Adobe InDesign strongly preferred.
  • Experience with donor databases such as Raiser's Edge or similar CRM platforms.
  • Outstanding organizational and time management skills; ability to juggle competing demands and deadlines.
  • Self-directed, resourceful, and solutions-oriented with excellent judgment and discretion.
  • Collaborative and professional demeanor with a service mindset.
  • Willingness to work occasional evenings or weekends and travel as needed.

Work Environment & Location

This position is based in New York City. The Manager of Executive Operations is expected to work at least four days per week in-office in AFBIU’s Midtown Manhattan headquarters. Some evening or weekend hours may be required around key events or board meetings.

Compensation & Benefits

  • Salary Range: $90,000 – $115,000 annually, commensurate with experience.
