Job Title: Administrative Assistant to the Director of Youth Education and Programming

Reports To: Director of Youth Education and Programming

Hours: Part-time (15-20 hours), includes Sunday mornings, weekday office hours, and occasional evening/weekend events

Position Summary: The Administrative Assistant supports the Director of Youth Education and Programming in the smooth and efficient operation of Temple Israel’s Religious School and youth programs. This individual plays a key role in communication, organization, and logistical support, contributing to a warm, welcoming environment for families, students, and staff.

Key Responsibilities:

Office and Administrative Support:

  • Oversee the daily operations of the Religious School office.
  • Respond to phone calls and emails within 24 hours.
  • Maintain accurate and up-to-date databases (class lists, mailing lists, contact information).
  • Track student attendance and manage early pick-ups.

Communication and Outreach

  • Serve as a communication liaison between the Religious School, families, and the Temple Israel main office.
  • Create and send a weekly newsletter to families with class updates, announcements, and upcoming events.
  • Help organize classroom photos to be distributed in newsletters.
  • Update and maintain the Religious School Facebook page and website content.

Staff and Program Support:

  • Support teaching staff with administrative and logistical needs (copying, emailing, classroom supplies, etc.).
  • Collaborate with Temple Israel staff to promote upcoming programs and events.
  • Assist with scheduling, hiring paperwork, and promotion of available teaching positions.

Event and Program Coordination:

  • Assist with ordering and setup for Friday night dinners and other community events.
  • Maintain and regularly update the youth and school programming calendar.

Financial Support

  • Assist with payroll processing for teaching staff and teen assistants.
  • Track and reconcile budgets for Religious School and youth programs.
  • Shop for classroom and event supplies as needed. 


School Presence: 

  • Greet students and parents warmly during Religious School hours and special events.
  • Assist with student transportation service.
  • Foster a friendly, supportive, and inclusive environment.

 Qualifications:

  • Strong organizational and communication skills.
  • Attention to detail and ability to multitask.
  • Proficiency in Google and Microsoft Workspace (Docs, Sheets, Forms) and email platforms (Microsoft Outlook and Shul Cloud).
  • Comfortable with social media management and basic website editing.
  • Warm, professional demeanor with a team-oriented attitude.
  • Familiarity with Jewish culture and synagogue life is a plus.

 Religious School Hours:

  • Sundays: 9:00-11:30am
  • Mondays: 3:00-5:30pmThursdays: 2:30-5:30pm

 Employee Hours (15 hours):

  • Sundays: 8:45-11:45am
  • Mondays: 1:00-5:45pm
  • Wednesdays: 11:00-1:30pm
  • Thursdays: 1:00-5:45pm

 

*Available to change though preferred to be present during religious school hours
