Job Title:          Administrative and Program Assistant

Department:     Temple Emanu-El Streicker Center

FLSA Status:    Salary Non-Exempt

Schedule:         Monday – Friday with Evenings and Occasional Weekends

Reports to:       Assistant Director of the Temple Emanu-El Streicker Center

 

SUMMARY

As the educational and cultural division of Temple Emanu-El, the first Reform Jewish synagogue in New York City, the Streicker Center offers a busy calendar of major events including evenings with remarkable figures, musical performances, book launches, films, and discussions, as well as classes and overseas trips. We attract over 50,000 people a year in person and have received 500,000 registrations virtually to date. All of this is organized and run by a small and cohesive staff with big ideas. The Administrative Assistant will serve under the supervision of the Assistant Director of the Streicker Center. Professional responsibilities will include:

 Communication

  • Provide information about all departmental programs and upcoming events, and respond to the needs of attendees, students and, faculty via phone, email ([email protected] account) and, in-person queries
    • Manage registration system and communication including sending confirmation emails, forms and, follow up on specific concerns
    • Serve as liaison with the membership office to sync lists
    • Manage registration for Friends of Streicker (FOS) for all requested events/classes

Data Management

  • Maintain the database systems (Ticketleap and SalesForce) by generating reports as necessary for tracking event and course enrollments, email correspondence and, financial data
  • Maintain communication with the Development Department of event and class registration lists
  • Provide faculty with current information about their students and course
  • Keep up-to-date records of registration and attendance for all programming (including member vs. non-member status)

 Event/Class Management

  • Assist the Assistant Director and Operations Manager with daily tasks to ensure the success of programs and classes (evenings and weekends when needed)
  • Ensure proper signage and reserved seating information (including Friends of Streicker) are printed and displayed for each program
  • Assist in supply/food/book orders when needed
  • Manage set up and clean up for registration for classes and events
  • Work with Operation Manager to guide short-term staff at programs
  • Oversee preparing all course materials for faculty
  • Correspond with students for semester classes, confirming course information and location, printed or emailed materials, and ID cards

 Staff Administrative Support

  • Photocopy and scan documents
  • Maintain neatness and order for common areas in the department, including office, storage closets and Streicker lounge
  • Order, stock, and maintain the quantity of all office supplies and tech needs
  • Provide up-to-date registration numbers for staff when requested

 Budget and Accounting

  • Code American Express statements for monthly reports for staff
  • Work with the Accounting office to process refunds and credits for all events and courses
  • Keep up-to-date records of all check requests, invoices, donations, and course/event income for reporting requests
  • Review monthly budget reports and request corrections where needed

Additional Key Areas of Responsibility

  • Attend all department meetings
  • Mail packages and other correspondences
  • Possible ordering and arranging of gifts and or packages
  • Provide support when needed with editing of catalogs, emails, etc.

 Qualifications

The ideal candidate for this position will possess or exhibit the following qualifications:

  • Proficient with Zoom, Microsoft Word, Excel, and Outlook and working with data management software
  • Excellent interpersonal, communication and, organizational skills
  • Sets priorities and manages multiple tasks
  • Achievement-oriented, passionate, fun, disciplined, and responsible
  • Team player, working collaboratively with department and synagogue staff members
