Celebrating a major milestone of 100 years of rich heritage, Congregation Kol Ami of White Plains is a robust, warm, friendly, inclusive and uniquely spiritual community looking to add an enthusiastic Marketing/Communications/Administrative Associate to our team. This is an exciting opportunity to help Kol Ami build out the marketing and maintenance of our dynamic programming calendar, and to also be a trusted and valued touchpoint for our congregants.  This role will assist in identifying, managing and executing the communication, marketing, publicity and administrative needs of the different areas of the organization.

The ideal candidate is a collaborative team player with a flexible, multi-tasker mindset who can move with ease between marketing, communications and administrative projects such as developing the graphic design for our award-winning Synaplex events to providing smooth administrative and logistical support for our Shabbat, lifecycle, festivals and High Holy Day services, as an example. 

This position requires a highly detailed individual who is passionate and experienced in marketing, social media, special events and database management. They must also have excellent writing and proofreading skills, with an approachable style that exudes a “can-do” attitude. The hired candidate must possess a strong and proactive sense of initiative and follow-through, allowing needs and/or problems to be detected early when possible, and to be communicated and addressed promptly and successfully.

This role reports to the Director of Membership Engagement and works closely with the Executive Director and the Bookkeeper.  Their exposure will extend out to daily interactions with the clergy, the Religious School, the Early Childhood Program, Kol Ami’s congregants and all visitors to the temple office.

Role Responsibilities (Marketing and Communications):

  • Assist with the development and expansion of Kol Ami’s social media presence including managing all social media pages, as well as scheduling, designing and posting content.
  • Assist the Director of Membership with the compilation and production of Kol Ami’s weekly electronic newsletter.
  • Oversee Kol Ami’s website, regularly updating content, including news, events, and resources. Ideally can also optimize website performance for search engines and user experience.
  • Regularly create and curate engaging content to enhance Kol Ami’s online presence.
  • Create, coordinate and manage a variety of communications to congregants and potential new members.

Role Responsibilities (Administrative):

  • Provide administrative and logistical support required for the smooth running of all Shabbat, life cycle events, festival and High Holy Day services and activities.
  • Assist the Director of Membership and the Executive Director in planning meetings, congregational events and in administrating the B'nai Mitzvah program.
  • Collaborate with senior staff and lay leaders to ensure programming and communications are accurate and timely.
  • Answer and screen phone calls, respond to inquiries, and when appropriate, direct incoming communications to the appropriate person, make appointments, organize and maintain calendars, produce correspondence as directed. Provide polite and professional assistance via phone, mail and email.
  • Maintain the synagogue/facilities calendar and schedule, including zoom schedules.
  • Database management (ShulCloud) includes, but not limited to, registration for programs and events.
  • Manage and support back-office processes and records management.
  • Handle office tasks such as filing, generating reports, gathering information for meetings and events, keeping inventory and ordering supplies.
  • Create documents and manage synagogue mailings, working with volunteers and outside vendors supporting the temple.
  • Assist with tracking and coordination of program and event registrations.
  • Oversee all aspects of congregant ticketing process for the High Holy Days, including being onsite as needed.
  • Assist with tracking and coordination of program and event registrations.
  • Assist Committee chairs and volunteers as needed.
  • Help in all areas of synagogue operations as needed.

Additional duties or special projects may also be assigned.

Requirements and Skill Set:

  • Prior experience in an administrative and/or marketing and communications support position.
  • Proven ability to handle multiple concurrent assignments, prioritize projects, meet deadlines, and synthesize information quickly.
  • Comfortable working with a small team in a fast-paced environment
  • Strong writing, editing, and verbal communication skills, and strong interpersonal skills.
  • Graphic design experience. Proficiency with Canva, Photoshop, Indesign, or Illustrator.
  • Strong computer skills including Microsoft Office (Outlook, Excel, Word, PowerPoint, Publisher), and knowledge of database systems such as ShulCloud.
  • Proficiency managing the main social media platforms that include but not limited to Facebook, Instagram, YouTube, Tik Tok and X channels.
  • Exceptional attention to detail and proofreading skills
  • Strong creative skills with an eye for design and aesthetics
  • The ability to maintain confidentiality and utilize discretion.
  • Self-motivated, capable of working independently and taking initiative including the ability to follow-up as needed to move projects forward.
  • Strong problem-solving abilities
  • An optimistic, team player attitude who works well under pressure.
  • Basic knowledge of Judaism or willingness to learn about Jewish practices and customs preferred but not required.
  • Understanding of synagogue operations is a plus.
  • Strong customer service skills


  • Experience: Minimum of 2 – 4 years of administrative experience in supporting multiple senior level staff.  Excellent organizational, written, and communications skills, required. 
  • Must have demonstrated satisfactory qualities of personality and character and ability to work with others for the good of the institution.
  • Education: Bachelor’s degree, or equivalent work experience

Working Conditions:

  • Work schedule in person 40 hours per week, Monday through Friday, but may occasionally require weekend work. Additional hours may be needed to provide support for special events and holidays.
  • Remote access as needed due to poor weather or other conditions.

Compensation and Benefits:

  • $58,000-$65,000 neg, commensurate with experience
  • Eligible for medical, dental and vision plans in accordance with synagogue plans.
