Administrative Assistant

Congregation Beth Emeth, located in Wilmington, Delaware, seeks a full-time administrative assistant to join our team. We are a warm and vibrant Reform congregation of approximately 400 families.

Wilmington is centrally located and convenient via I95 from the Philadelphia suburbs and the Salem County area of New Jersey.

This is a full-time hourly position with benefits, including health insurance, paid time off and the opportunity to participate in a 403b retirement plan.

This position has dual responsibilities in our business office and religious school.

 Due to the religious school responsibilities, the work schedule for this position is Sunday-Thursday from September through May and Monday-Friday from June through August. The hours are generally 9:00 AM to 5:00 PM except for Sundays (7:00 AM to 1:30 PM) and Wednesdays (10:00 AM to 6:00 PM) during the school year.

Primary responsibilities include but are not limited to:

General Office Administration (Reports to the executive director):

  • Assists as needed, with receptionist duties from 9 answering phones, admitting visitors, handling mail, and responding to general queries via phone and email
  • Provides clerical and logistical support as requested, for Temple staff, Board, and volunteers
  • Processes new and resigning memberships
  • Creates and sends annual and monthly member billing statements
  • Processes contributions by checks and credit card and sends acknowledgement cards for donations
  • Receives and issues billing and tax statements

 Religious School Administration (Reports to the Director of Lifelong Learning):

  • Processes religious school registrations
  • Prepares teacher materials
  • Prepares and distributes weekly religious school e-newlstter
  • Creates B’nai Mitzvah packets and all follow up materials
  • Maintains and tracks faculty information for classes and payroll
  • Sets up and maintains database each school year for students and classes
  • Provides clerical and logistical support as requested for Temple staff, Board, and committees
  • Coordinates faculty payroll and contracts
  • Maintains religious school calendar
  • Maintains office equipment and orders supplies as needed
  • Provides support for Clergy, creating materials as requested including Hebrew/English documents

 

Position Requirements:

  • Minimum of 3 years’ experience in an administrative role
  • Bookkeeping experience a plus
  • Excellent organizational skills; detail oriented
  • Strong Office 365 shills including Word, Excel and Publisher
  • ShulCloud and Davka experience a plus
  • Knowledge of Jewish traditions or a willingness to learn
