Role Overview

The Front Desk Coordinator will be responsible for administrative and operational support tasks related to the functions of the Cohn Jewish Student Center. As a receptionist, they will be the first interaction that students, supporters, and community members experience at Hillel. The Front Desk Coordinator provides administrative support to the Operations and Finance Manager, Executive Director, and Hillel staff. The Front Desk Coordinator will act as a “catch-all”, assuming various responsibilities on an as-needed basis for a variety of programs. The position is part-time at 25 hours per week between August and May. During the summer the position moves to 15 hours per week.

General Administrative Tasks

•    Promote professional attitude and image of Hillel as the first contact with public
•    Collect information from visitors as needed
•    Answer telephone and front door, take appropriate messages for staff
•    Arrange student help when necessary
•    Take and distribute minutes at weekly staff meetings
•    Work with Executive Director to prepare agendas for weekly staff meetings
•    Document and distribute meeting minutes at scheduled board meetings
•    Manage the administrative and logistical support for all staff and Board of Trustees
•    Responsible for good and welfare of staff, ie: birthdays or other team building items
•    Running errands and purchasing supplies as needed
•    Assistant to the Executive Director as needed
•    Other duties as required

Development

•    Support the distribution of fundraising mailings, including purchasing stamps and labels, copying, and stuffing envelopes
•    Responsible for merging and mailing of donor acknowledgments
•    Assist with event planning as well as other activities throughout the year
•    Work with related parties to acquire and update donor information
•    Enter and manage donor data in Little Green Light customer relationship management software

Facility Maintenance

•    Ensure that the building and grounds are welcoming, clean and well maintained
•    Manage parking permits and lot
•    Maintain inventory of office and building supplies, replenishing supply when necessary
•    Responsible for organizing public office spaces 

Supervision

•    Participate in professional supervision with the Operations and Finance Manager on a regular basis
•    Supervise, along with the Kitchen Manager, all work study students
•    Coordinate & oversee any temporary help hired for specific administrative tasks as needed

Fiscal and Security Responsibilities

•    Make bank deposits at Key Bank and/or other banks as designated
•    Work-study reimbursement from the KSU Career Services office
•    Maintain security of building by screening potential visitors, monitoring cameras, and training staff and students in best practices.
