Congregation Rodeph Sholom (CRS) is a large dynamic Reform synagogue at the heart of Manhattan’s Upper West Side and has a strong 180-year history. We are a community for all who enter our doors and our members represent the vibrant diversity of New York’s Jewish landscape. Multi-generational families, millennials, interfaith families, lifelong New Yorkers, those new to the city, folks pursuing conversion and those exploring Judaism for the first time have all found a home at CRS. This position reports to the Director of Engagement and Program and works closely with the Director of Sholom Sprouts (Families with Young Children) and the Program Coordinator.

ABOUT YOU
CRS is looking for a dedicated and detail-oriented person to provide administrative support to our program departments (Families with Young Children, Adults, 20s & 30s, Congregation-wide). You are an expert with Microsoft Office 365 (especially Outlook, Excel and SharePoint), and have experience working with a registration system (i.e., SimpleTix or Eventbrite) and a membership database (i.e., IMIS or Salesforce).

WORK SCHEDULE 
Our team works on a hybrid schedule. All our team members must be flexible and able to adapt to short- and long-term shifts in their job duties. Working hours are generally 9:00 AM to 5:00 PM (4:00 PM on Fridays); additional hours may be required evenings and weekends.

RESPONSIBILITIES

Registration & Customer Service

  • Create registration forms for all events and classes.
  • Serve as the “help desk” point person for answering phone and email queries related to congregational programs. (Troubleshoot registration issues, process refunds and class changes; manage wait lists).
  • Send communications before and after an event/program.
  • Prepare attendance sheets and assist with reporting and tracking of all program participation.

Data Entry and Reporting

  • Enter and maintain constituents’ data in databases and registration systems.
  • Prepare and manipulate database lists; produce reports based on data and information gathered from various sources.
  • Update lists in Constant Contact and manage handling of “bounce back” email addresses.
  • Monitor the ‘New Non-Member” tracking system to ensure timely follow-up with new leads for programs and further engagement/membership.

Business Operations

  • Prepare check requests, invoices, and monthly American Express reports; communicate as needed with vendors.
  • Track all receipts and expenses to ensure that the program departments operate within budget.
  • Process billing for all paid events.
  • Prepare weekly and monthly financial reports as needed.

Administrative Support

  • Assist with printing and copying; preparing items to be shipped; organizing and moving supplies.
  • Help manage schedule and make appointments for the Director of Engagement and Program and Director of Sholom Sprouts.
  • Perform other related duties as assigned or required; duties and responsibilities may be added, deleted or changed to meet the needs of the program departments.

QUALIFICATIONS AND SKILLS

  • 1-2 years of administrative support, or office management experience.
  • Bachelor’s degree, preferred.
  • Expert knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Google Docs, and SharePoint/One Drive.
  • Ability to learn new software and programs is essential. Training support provided for Zoom, Constant Contact, IMIS, SimpleTix, Concur, Airtable and other new technologies as they become available.
  • Exemplary written and verbal skills.
  • Tenacious attention to detail, even under tight deadlines.
  • Ability to prioritize tasks and manage multiple projects.
  • Professional, diplomatic, and discreet with confidential matters.
  • Knowledge of the local Jewish landscape, synagogue life, Jewish education, Jewish holiday cycle, and Hebrew desired, but not required.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Patience and sense of humor.

SALARY & BENEFITS 

  • Salary range: $42,000-47,000; commensurate with experience.

VACCINATION POLICY

  • All staff must be fully vaccinated, including booster shot. Proof of vaccination required at start of employment.
