This person will be responsible for coordinating the daily operations of FamilyMatters including monitoring and scheduling of activities, guests, staff, clients, office, and room utilization. They will be the first point of contact for incoming visitors and phone communication. This position will additionally be responsible for assisting with the coordination of all development, clinical and administrative needs at the FamilyMatters office.
Job Responsibilities:
- Responsible for the management of the daily office operations and activities
- Provide a professional first point of contact by phone or for visitors offering a competent, friendly, warm, person centered and trauma informed approach
- Provide support to the development department with special event registration, event preparation, flyers, signage, depositing checks, credit card payments
- Set up and work fundraising events
- Support the clinical team as needed
- Work with the Social Media Provider for all posts and help develop content
- Manage the calendar of all meeting schedules, preparation, refreshments for entire site
- Responsible for office operations, including inventorying, organizing, and ordering supplies weekly, receive and reconcile payments, manage interoffice and external mail
- Maintain relationships and schedule outside vendors for photocopier, internet, phone systems and property management vendors
Qualifications:
- Bachelor’s degree and a minimum of 2 years’ experience with administrative office management
- Proficient in Microsoft Word, Excel, Outlook and able to learn new programs such as Raiser’s Edge, Extended Reach, In Design, and Canva
- Excellent organizational and interpersonal skills
- Understanding of trauma informed model of care
- Comfortable with menu driven database programs
- Excellent verbal and written communication skills
- Excellent professional appearance and demeanor
- Good judgment and common-sense skills
- Clear professional speaking voice
- Accuracy and ability to work independently
- Ability to remain clam under pressure
