Join us at Jewish Family & Children’s Service (JF&CS) as an Administrative Coordinator supporting the impactful work of our Services for Older Adults Division. You’ll collaborate with a dedicated team to deliver critical programs that help older adults age with dignity.

Overview of the Position:

The Administrative Coordinator plays a key role in supporting the day-to-day operations of the programs of the Services for Older Adults Division, which helps older adults and families plan, find support, connect with others and live well as they age. This position offers a unique mix of behind-the-scenes support and project ownership. You’ll work closely with program directors, staff, interns, and volunteers to keep things running efficiently and compassionately. The position has a special emphasis on supporting the work of our aging life care management program, Your Elder Experts.

This is a great opportunity for someone who thrives in a fast-paced, collaborative environment, has strong administrative, technological and organizational skills, and wants to contribute to work that impacts the lives of older adults and families in the Greater Boston area.

This is a full-time position, Monday through Friday, 9-5. Potential for up to two days per week working remotely.

Position Summary:
The Administrative Coordinator plays a pivotal role in supporting the Services for Older Adults Division, which includes a diverse range of programs:

  • Your Elder Experts (Aging Life Care Management)
  • Schechter Holocaust Services
  • Guardianship
  • The Charlotte and Richard Okonow Parkinson’s Family Support Program
  • The Betty Ann Greenbaum MIller Center for Jewish Healing
  • Alzheimer’s and Related Disorders Family Support Program

Key Responsibilities:

Your Elder Experts

  • Oversee monthly billing for private pay services
  • Manage database completion and generate reports
  • Access and organize data to support budget planning
  • Set up electronic records and manage intake paperwork for new clients
  • Support ongoing YEE data collection and reporting efforts
  • Maintain vacation and coverage calendars for program staff

Services for Older Adults

  • Support ongoing data collection and reporting efforts
  • Provide administrative support (data entry, mailings, invoice review) to other SOA programs
  • Assist with program outreach, event planning/execution, and materials preparation
  • Liaise with internal departments and external partners, as needed

Qualifications:

  • Bachelor’s degree and at least 2 years of relevant administrative experience; or 5 years of relevant administrative experience
  • Strong interpersonal and communication skills
  • Excellent attention to detail
  • Ability to work both independently and collaboratively as part of a team
  • Confidence in managing Excel spreadsheets and handling financial data
  • Demonstrated ability to quickly learn new software and systems
  • Exceptional time management and multitasking abilities
  • Flexibility and a proactive approach to problem-solving
  • Strong initiative and organizational skills
  • Proficiency in Microsoft Office Suite and other relevant software

Work Hours & Compensation:

  • Full-time position:  36.25 hours per week
  • Hybrid work option: Potential for up to two days per week working remotely
  • Hourly rate: $25.00 – $27.25, commensurate with experience
