Description

Congregation Beth Shalom is a Conservative Synagogue located in the heart of Pinellas County. The organization seeks a warm, organized, and detail-oriented individual to join our team as a Part-Time Administrative and Clergy Assistant. This position provides essential support to both the clergy and office administration to ensure the smooth daily functioning of our synagogue. The ideal candidate is personable, proactive, and able to manage multiple priorities in a dynamic environment.

Position Details

Reports To: Executive Director and Clergy
Schedule: Part-Time (Approximately 20 hours per week)

Responsibilities
Clergy Support

  • Assist clergy with scheduling, calendar management, and meeting coordination
  • Prepare materials for life-cycle events, services, and holidays (e.g., honors lists, programs, certificates)
  • Track yahrzeits and coordinate appropriate notifications and mailings
  • Help manage pastoral care logistics and communications with congregants
  • Maintain confidentiality and sensitivity in all clergy-related matters

Administrative Support

  • Answer phones, greet visitors, and respond to general inquiries with warmth and professionalism
  • Provide administrative support for synagogue communications, including weekly emails, mailings, and flyers
  • Support maintenance and updates synagogue calendar, databases, and contact lists
  • Support preparation and logistics for meetings, programs, and events
  • Order office and program supplies and maintain inventory

  • Uphold confidentiality and demonstrate discretion in all aspects of the role
  • Be flexible and responsive to evolving congregational needs

Qualifications

  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office; familiarity with Constant Contact, ShulCloud, or similar platforms a plus
  • Ability to manage time and priorities effectively
  • Experience in a synagogue, non-profit, or customer-facing administrative role preferred
  • Warm and welcoming demeanor; tactful and discreet

Work Hours & Environment

This is a part-time, in-person position based at the synagogue office.
