Job Title: Operations Associate

Overview: Temple Beth Am is a reform Jewish congregation in Jupiter, FL. Serving over 500 families in the local community through worship, education, and programming. We are seeking an organized and flexible team player to be our Operations Associate. This role is crucial in ensuring the smooth operation of daily activities within our synagogue community. The Operations Associate will report directly to the Executive Director and play a key role in ensuring the effective and efficient functioning of our daily operations through coordination of logistics for projects and initiatives.

Key Responsibilities:

Facilities Coordination:

  • Coordinate logistics for facilities usage including between maintenance, vendors and programming staff for set-up, shopping, ordering, and tech needs.
  • Manage all room rentals including for parties and lifecycle events. Work closely with event organizers to meet their specific needs.
  • Oversee room scheduling for committees and auxiliaries.
  • Provide logistic support for Jewish holidays and major temple events.
  • Assist Programming Director with coordination of volunteers.

Project Management:

  • Coordination and scheduling of security guards, equipment inspection, and annual security trainings for staff and leadership. Ensure security protocols are current and followed.
  • Oversee the scheduling of B’nei Mitzvah including assignment of dates and review of policies with families.
  • Provide administrative support to administrative director on special campaigns including maintaining records, overseeing mailings, tracking donors and managing acknowledgements for fundraising campaigns.
  • Ensure vendor compliance with temple policies.

Processes Auditing:

  • Collaborate with facilities supervisor and education directors to streamline purchasing, inventory management, and scheduling of vendors and maintenance staff.
  • Maintain accurate records and identify areas of improvement.
  • Manage compliance procedures including annual inspections, insurance renewals, and town permits.

Qualifications:

  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office Suite.
  • Comfortable learning new technology. Familiarity with CRM a plus.
  • Ability to work independently and collaboratively in a busy office.
  • Must have initiative to own projects and not be afraid to ask questions

  • Knowledge of Jewish customs and traditions.
