Job Title: Administrative Manager

Organization: Chabad of Tribeca & Soho 

 

Job Overview: The Administrative Manager holds an important role within Chabad of Tribeca and Soho —a dynamic non-profit serving the downtown Jewish community. The position oversees daily operations, administrative functions, programs, events, and facilities management. 

This position reports to the Senior Director of Administration and Human Resources. 

 

Key Responsibilities:
ADMINISTRATIVE MANAGER

 

Administration (operations)

 

  • Support existing systems to streamline operations across three facilities.
  • Provide support for board meetings, maintain organizational documents, and assist with billing functions and communication.
  • Assist in planning and executing events and celebrations, supporting organizational development efforts.
  • Manage special projects as needed to support development efforts, including work related to grants. 

 



Administration (programs and events)

 

  • Oversee daily operations, providing administrative support, and ensuring the smooth functioning of organizational activities and events.
  • Schedule & supervise maintenance and security and program-related tasks and events.
  • Manage scheduling for classes, services, and programs to optimize efficiency.
  • Handle registration, scheduling, and content management for events, collaborating with vendors, contractors, and committees.

 

 

Facilities Management

 

  • Manage facilities’ needs, including space preparedness for programs and rentals, repairs, and security and across 2 Tribeca locations and a rental property.  
  • Supervise maintenance staff, manage cleaning schedules, and coordinate security arrangements for programs and events.
  • Maintain inventory and schedule & oversee facility repairs, installations and maintenance to ensure safe and functional spaces.

 



Customer Service

 

  • Provide excellent customer service, responding to inquiries, and connecting community members with resources.
  • Foster positive relationships with stakeholders, ensuring a supportive and welcoming environment.

 

Communications, Marketing and Web Presence: 

 

  • Manage online platforms and facilitate registrations, payments, and donations.
  • Update calendars, newsletters, and email bulletins to keep stakeholders informed.
  • Coordinate website updates.
  • Support Directors to create and distribute weekly communication, including emails, social media, and donor communications.
  • Ensure consistency in branding and messaging across various communication channels.

 

 

Qualifications

 

  • Experience in operational management, team leadership, and strategic planning.
  • Strong organizational skills with the ability to oversee multiple projects simultaneously, prioritize tasks effectively, and meet deadlines in a fast-paced environment.
  • Experience managing budgets and overseeing financial reporting processes. 
  • Excellent administrative skills, including proficiency in G Suite, Microsoft Office Suite, Canva, CRM and other relevant software. Experience with database management, document preparation, and record-keeping is essential.
  • Strong written and verbal communication skills, with the ability to effectively communicate with staff, board members, donors, and external stakeholders.  
  • Ability to foster a positive work culture and promote collaboration and teamwork.
  • Ability to identify challenges, develop innovative solutions, and implement effective strategies to address operational issues and improve organizational efficiency.
  • Flexibility and adaptability to navigate changing priorities, unexpected challenges, and evolving organizational needs with good humor, resilience, and creativity.
