Administrative Assistant to Development Director

STATUS:             Non-exempt, hourly

Position Summary: 
We are seeking an experienced, tech savvy and dynamic Administrative Assistant to provide support to our Development Director in executing fundraising initiatives and ensuring the smooth operation of fundraising activities. The ideal candidate will have experience in supporting fundraising activities. This role requires exceptional organizational skills, attention to detail, excellent written communication skills, and proficiency in tech tools such as Microsoft Word, Microsoft Excel, and Raisers Edge. The successful candidate will be proactive, adaptable, and able to manage multiple tasks with a positive attitude. 

 Primary Responsibilities: 

  • Collaborate closely with the Development Director and provide administrative support to help in the execution of fundraising strategies, campaigns, and events.
  • Assist in researching potential donors, other charitable institutions, and fundraising landscape.
  • Maintain a well-organized database of contacts in Raisers Edge.
  • Review and edit written materials with a critical eye.
  • Proofread fundraising proposals, donor communications, and reports under Director’s guidance with impeccable grammar and writing skills.
  • Coordinate and schedule meetings, appointments, and events related to fundraising efforts.
  • Utilize Microsoft Word and Excel proficiently to create documents, spreadsheets, mail merges and reports for fundraising activities.
  • Provide diverse administrative support, including managing calendars, and creating reports.
  • Monitor and track fundraising progress, preparing regular updates and reports for the Development Director.
  • Maintain accurate records of fundraising activities, donor interactions, and financial contributions.
  • Assist in event planning and execution, from logistics coordination to managing invitations and RSVPs.
  • Uphold the highest standards of confidentiality and professionalism in handling sensitive donor information.

 Technology Requirements: 

  • Experience with donor management software such as Raisers Edge
  • Proficiency with Microsoft Office, especially Word, Excel, and Outlook
  • Comfort with Google Forms, registration platforms, etc.


  • Bachelor's degree in a related field is preferred.
  • Have experience as an administrative assistant or in a similar support role.
  • Demonstrated experience in supporting fundraising or donor relations is preferred.
  • Exceptional attention to detail and strong organizational skills are critical.
  • Impeccable grammar, writing skills, and ability to craft compelling communication materials.
  • Proactive and resourceful mindset, capable of taking initiative and managing tasks independently.
  • Strong interpersonal skills, with the ability to communicate effectively and maintain professional relationships.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment while maintaining a high level of excellence.
  • Positive attitude, adaptability, and willingness to work collaboratively within a team.
  • Strong follow-through and commitment to completing tasks accurately and efficiently.

SALARY & BENEFITS:   Compensation commensurate with experience with generous benefits package including full health, vision, and dental coverage.     Range:  $30-33/hour
