Synagogue Director of Operations

We are a Reform congregation of approximately 700 families located in the mid-Valley.  We operate a successful Early Childhood Center with more than 150 students and a religious school with more than 300 students.  We host regular worship services, festival celebrations, many b’nai mitzvah ceremonies.  Our community has a decades-long commitment to social justice and social action.  We have extensive activities for our members of all ages.

As the Director of Operations, you will be responsible for the administration of the temple’s budget and finance, daily operations and facilities, IT, insurance, and HR. You will be a member of a highly collaborative senior staff, led by our Senior Rabbi, that includes our clergy team and the Director of Engagement. You’re a creative problem solver with experience and knowledge in financial management and developing efficient systems. You will supervise the administrative and facilities staff with approximately 3-5 direct reports.  This position reports to the Senior Rabbi on a day-to-day basis.  The Director of Operations will also periodically report to the synagogue Board of Trustees.

Responsibilities

Budget and Finance

  • Advance systems for financial management, including forecasting and preparing monthly financial reports
  • Ensure board is well-informed about organization’s financial affairs
  • Liaise with finance team to manage payroll, accounts payable and receivable, financial reporting and cash-flow forecasts
  • Liaise with auditors to prepare information for annual financial audit
  • Direct annual budgeting process
  • Oversee the management of checking, savings, and capital project funds 
  • Ensure compliance with financial controls and policies and update where necessary

Business Operations and Facilities

  • Oversee day-to-day operations, including safety and security, IT, and building maintenance
  • Provide facilities management, including planning and oversight of capital projects
  • Maintain vendor relationships with outsourced companies (IT services, internet and phone, security, insurance agents, accountants, human resources, property management and others as necessary)
  • Be proactive in researching and recommending business solutions to growing operational needs 
  • Develop creative, effective strategies to source data to inform measurement and evaluation
  • Oversee and manage ShulCloud, the main CRM software used by the synagogue that is designed specifically for use by synagogues
  • Oversee and manage the organization's other IT software, CRM tools and business services (Constant Contact, Donor View, Survey Monkey, Google Drive, OneDrive, Zoom, etc.) 
  • Serve as staff liaison for relevant board committees (Facilities, Security & IT; Budget & Finance; Audit)

 Human Resources

  • First point of contact with HR attorneys that provide a suite of services to the synagogue
  • Supervise semi-monthly payroll
  • Manage employee benefits administration 
  • Oversee hiring processes, employee onboarding, training, and performance management
  • Maintain and update HR policies, ensuring compliance with applicable employment laws in conjunction with HR attorneys

Experience

  • 5 years of relevant experience managing people, financial systems; business operations; and human resources
  • Bachelor’s degree required
  • Knowledge of and experience with Microsoft Office; QuickBooks, CRM systems, Excel and Google documents
  • Demonstrated track record in change management, experience developing and implementing strategies that have taken an organization to the next stage of growth

 Salary Range:  $90-105,000. The successful candidate will be eligible for the health insurance, paid vacation and other benefits.  This position requires some evening and weekends.  This is a full-time, exempt position.
