At the direction of the Sr. Manager, Executive Office, this multifaceted role has two areas of responsibility: working with the Executive Office to support the Board President and board activity ensuring crisp communication between the executive office and the board; and supporting the Development department with administrative coordination.


Board Administration & Coordination:
Provides administrative support for all full Board and Executive Committee activity. Serves as a project manager to follow-up on all Board related action items and works with staff Coordinators to ensure they manage Board/Committee related follow-up in a consistent and timely manner. Board administration also includes but is not limited to:

Board Meeting & Retreat Planning: Manages scheduling, preparing agendas and materials, creating presentations, conducting research, planning logistics (e.g., room, food, AV, supplies, recordings), documenting decisions, distributing timely meeting notes, and following up on actionable items.

Board Portal: management of the online Board portal and communication tools, ensuring comprehensive, timely and accurate materials are uploaded. Establishes and manages a process for working with other staff who support Board committees to ensure relevant Committee based work is included in the portal. Periodically analyzes the Board communication needs, researches and recommends tools for continuous improvement for Board consideration, and implements upgrades as decided. Provides technical support with training and troubleshooting to enable the Board members to maximize the tools and data available.

Project Support: provides administrative and project support to consultants and task forces serving the full board and/or Executive Committee.

Onboarding Support: helps to welcome and onboard new Board members, ensuring they have the board communication tools, portal training, access to relevant historical documents, and understanding of overall Board operations.

Board Surveys: Compiles and disseminates periodic board surveys and summarizes the responses.

Board Relationship Management: Cultivates strong relationships with board members, serves as a supportive resource, and acts as a constructive liaison between Board members and the other staff. Maintains discretion and confidentiality in relationships with all Board members.

Event & Trip Coordination: provides project management and logistical support to Board Members that host Momentum events. Also coordinates Board member attendance at external conferences and dinners including registration, meeting scheduling, materials preparation, and follow-up work. Coordinates all aspects of board member participation with Momentum trips and events.

Development Department Coordination: At the direction of the Director of Development, provides administrative coordinate to her role and the department team as follows:

Provides general administrative support to the Director of Development.

Maintains the calendar for the Director of Development and the shared department calendar. Coordinates internal and external meetings and ensures the accuracy and dissemination of meeting notices.

Supports the external relations team by sending assigned thank you notes and acknowledgments to donors. Processes all donations including deposits and entering into Salesforce.

Prepares and codes monthly credit card reports for the Director of Development.

Performs other relevant duties as assigned.


Bachelor’s degree required.
3-5 years of experience in a relevant nonprofit function
Excellent PC literacy with strong competency in all Microsoft Office Suite programs
Strong organizational skills and attention to detail with emphasis on accuracy and quality.
Ability to manage multiple responsibilities with changing priorities.
Excellent interpersonal and customer service skills with a welcoming and professional demeanor both in person and by phone.
Strong written skills with prior background in developing presentations.
Proven ability to maintain confidentiality.
Self-motivated, is resourceful, and learns quickly with strong problem-solving skills.
Strong knowledge of Jewish culture and traditions strongly preferred.
Ability to work nontraditional hours as needed including weeknights and Sundays that involve organizational events and meetings. Ability to travel to board and staff retreats several times each year.
