Executive Assistant

 

Reconstructing Judaism seeks a highly motivated assistant to provide high-level administrative support to the Executive Vice President and two of her direct reports, the Director of Human Resources & Administration and the Director of Individual Giving. The ideal candidate has experience successfully supporting senior executives in a fast-paced, dynamic environment and takes pride in enabling others to succeed. The candidate must be able to seamlessly move between tasks and managers to accurately complete detail-oriented projects and meet deadlines. The right candidate will be self-motivated, highly organized, and able to effectively prioritize, communicate clearly with varied groups of people, take ownership of tasks from start to finish, work independently, be calm under pressure, and represent the organization with professionalism and warmth. 

 

Primary Responsibilities

 

Administrative Support

  • Supporting the Executive Vice President, Director of Human Resources, and Director of Individual Giving with tasks including: heavy calendar management, tracking project deadlines, communicating on behalf of, drafting internal memos and proofreading internal and external communications, expense report reconciliation and processing, data entry and maintenance, following checklists of procedures, assisting with orienting and communicating with new and current staff members, and other tasks as assigned.
  • Offering back up administrative assistance for the Office of the President at especially busy times or when other staff are unavailable.
  • Utilizing technology: Outlook (email & calendar), Word, Excel, Doodle, Zoom, PowerPoint, and Human Resources Information Systems (HRIS).
  • Managing in-person and virtual meeting and event logistics: scheduling video conferences and teleconferences, preparing and distributing meeting materials, greeting visitors and attending to their needs, creating schedules, ordering food and/or supplies, answering questions, and managing meeting technology; taking meeting minutes or action notes.
  • Inter-departmental coordination of projects.
  • Other office duties include but are not limited to filing, opening mail, and distributing information to colleagues who are working both in-office and remotely.

 

Travel Preparation and Outreach Support for Key Senior Management

  • Organizing outgoing correspondence for the President and CEO as assigned.
  • Using Blackbaud Raiser’s Edge and Raiser’s Edge NXT, updating constituent records after e-mail distributions and individual donor outreach.
  • Completing other administrative tasks related to the upkeep and integrity of the database platform as assigned.
  • Collecting needed collateral for President and CEO’s travel as anticipated and assigned; maintaining a log of materials and ordering replacements as needed
  • Packing and shipping collateral to travel destination/s according to timeline.
  • Monitoring quantities of collateral and expedite re-ordering as needed.
  • Managing daily and special mailing projects.

 

Qualifications

  • Minimum of three years supporting a senior-level supervisor.
  • Experience supporting multiple supervisors.
  • Experience managing daily workflow and multiple, concurrent projects.
  • Extensive Microsoft Outlook (both calendar and email), Word, and Excel experience, or transferable skills from similar systems i.e. GSuite.
  • Experience scheduling and executing meetings, both in person and virtually.
  • Experience editing and proofreading with thorough attention to detail.

  • Ability to interact appropriately with executives, VIP donors, stakeholders, volunteers and staff.
  • Demonstrated ability to work independently and as part of a team, take initiative, set priorities, track multiple concurrent tasks and projects and respond to changing needs as required.
  • Ability to proficiently use the following without training: MS Office Suite (Mail Merge, Outlook, Word, Excel). Ability to learn and apply new technologies, as needed.
  • Ability to meet deadlines, self-motivate and track tasks.
  • Ability to think critically and to troubleshoot and resolve problems.
  • Highly organized and meticulously attentive to details, particularly in written communication.
  • Ability to maintain confidentiality and exercise discretion and good judgment.
  • Ability to project warmth, interest, and competence in all interactions.
  • Ability to retain information, master new skills quickly, and self-train.

 

Salary:

$42,000-$49,000 annually, commensurate with experience.

 

Benefits:

This is a full-time, primarily onsite, non-exempt, benefit eligible position. Following successful completion of training and onboarding, a hybrid schedule including working from home up to two days a week will be considered if desired.  Benefits include health insurance, 401(k), generous paid vacation and sick time, and ample time off for major Jewish and American holidays.  We offer a dynamic and progressive workplace.

 

COVID-19 mitigation

During periods of elevated community transmission in Montgomery County, masking may be required of all employees and visitors in shared spaces regardless of vaccination status.
